Job Summary

We are seeking an experienced Office Manager to support construction operations in a fast-paced regional office environment. This role serves as the administrative backbone of the office, providing critical support to executive leadership, project management, and accounting teams. The ideal candidate has prior experience in construction administration and excels at organization, communication, and process improvement.

Pay Range

$75k-$85k per year

Key Responsibilities
  • Oversee daily administrative and office operations, including facilities and supply management
  • Support project teams with submittals, RFIs, change orders, and project closeout documentation
  • Assist accounting with AP/AR processing, job cost coding, payroll support, and WIP reporting
  • Maintain compliance documentation, including insurance certificates and contract files
  • Support safety programs, training records, and certification tracking
  • Assist with HR functions such as onboarding, personnel file maintenance, and E-Verify compliance
  • Coordinate reporting, documentation, and communication with internal teams, vendors, and subcontractors
  • Track office assets, fleet records, and assigned equipment
Qualifications
  • 5+ years of experience in construction office management or project administration
  • Strong knowledge of construction processes, documentation, and accounting workflows
  • Proficiency in Microsoft Office and construction management/accounting software (e.g., Procore, Sage, Viewpoint, or similar)
  • Highly organized with the ability to manage deadlines in a fast-paced environment
  • Professional, discreet, and capable of handling confidential information
  • Ability to pass background checks and meet site access requirements
  • Notary Public commission preferred
