Customer Service Rep
As a Veterinary Receptionist, you will be the first point of contact for our clients, both in person and over the phone. You’ll play a key role in ensuring a smooth and welcoming experience for our pet owners while helping to coordinate appointments, handle administrative tasks, and support our veterinary team.
Responsibilities- Client Interaction: Greet and check in clients and their pets, ensuring a friendly, professional, and welcoming atmosphere.
- Appointment Scheduling: Manage appointments, ensuring accuracy and efficiency. Remind clients of upcoming appointments and follow-up care.
- Phone Handling: Answer and direct phone calls, address client questions, and provide information about services and treatment options.
- Record Keeping: Maintain accurate client and pet records, ensuring that all information is up-to-date in our system.
- Processing Payments: Handle payments for services and products, including managing insurance paperwork or billing inquiries.
- Communication: Coordinate with veterinary staff to ensure that client needs are addressed in a timely and professional manner.
- General Office Duties: Assist with daily administrative tasks, including filing, data entry, and maintaining office supplies.
- Customer Service: Address client concerns with empathy and professionalism, helping to resolve any issues or conflicts that may arise.
- Patient Care Support: Occasionally assist with the handling of animals or preparation of patient files as needed.
- High school diploma or equivalent (College or related certifications are a plus).
- Previous experience in a veterinary office or medical office environment preferred but not required.
- Excellent communication skills, both written and verbal.
- Strong organizational skills and attention to detail.
- Ability to work well under pressure in a fast-paced environment.
- Compassion for animals and their owners.
- Team player with a positive attitude and strong work ethic.
- Ability to multitask and prioritize tasks effectively.
