Second Baptist School is currently seeking a full‑time OPERATIONS PROJECT COORDINATOR.
- Position Title: Operations Project Coordinator
- Location: SBS Woodway - with some travel to SBS University-Model campuses
- Reports To: Director of School Operations
The Operations Project Coordinator supports the Director of School Operations by managing project workflows, coordinating with vendors, processing purchase orders and tracking progress on campus‑wide operational initiatives. This role focuses on execution—keeping projects moving, maintaining accurate documentation and ensuring deadlines and deliverables are met.
The coordinator works closely with the Director of Operations, the Operations Administrative Assistant, the Second Baptist Church facilities team, campus leadership and outside contractors to support projects that strengthen the school’s facilities, safety and campus experience. This position requires excellent communication, attention to detail and the ability to manage multiple projects at the same time while representing Second Baptist School with professionalism and integrity.
RESPONSIBILITIESAND DUTIES.
Essential functions include, but are not limited to:
Project Management & Coordination- Support the Director of School Operations in managing short- and long‑term operational projects.
- Initiate and own aspects of various projects as directed.
- Track project timelines, deliverables and next steps to keep initiatives moving efficiently.
- Prepare project summaries, status reports and documentation for leadership review.
- Coordinate with the Operations Administrative Assistant to align scheduling, communication and documentation.
- Serve as a point of contact for vendors and contractors throughout project planning and execution.
- Assist with collecting bids, reviewing proposals and coordinating vendor scheduling.
- Monitor vendor progress and communicate updates, deadlines or concerns to the Director of Operations.
- Maintain updated records of vendor contracts, contacts and service agreements.
- Create and process purchase orders for materials, equipment, furniture and project‑related expenses.
- Track purchases, deliveries and invoices to support accurate budgeting and stewardship.
- Collaborate with department leaders to confirm specifications, quantities and installation dates.
- Maintain organized documentation of all purchase orders and procurement activity.
- Work closely with the Second Baptist Church facilities team to support project timelines and campus‑wide work.
- Assist in planning and preparing for campus improvements, maintenance cycles and space updates.
- Support furniture procurement and installation, including coordination with leadership on classroom and office needs.
- Help oversee completion of project punch lists and quality checks.
- Maintain project files, calendars, spreadsheets and tracking tools with accuracy and attention to detail.
- Support the Director of Operations in preparing materials for meetings, presentations and strategic planning.
- Attend meetings related to facilities, safety, operations and vendor coordination.
- Assist with additional operational tasks and school wide projects as directed.

- Proficiency with Excel, Google Suite and project tracking tools.
- Professionalism, discretion and sound judgment when handling confidential information.
- Flexibility and strong people skills while working well with others - emotional intelligence
