Description
The Director of Administrative Services for the Athens Campus serves as the primary on-site leader and ambassador for Piedmont University, ensuring a seamless and high-quality experience for students, faculty, staff, and visitors. This role is responsible for overseeing campus operations, coordinating student-facing administrative services, and maintaining strong alignment with the University's academic and administrative units.
The Director will possess a comprehensive understanding of admissions requirements, student accounts, financial aid, academic program plans, registration processes, and campus resources. Additionally, the Director will play a critical role in fostering engagement, supporting enrollment and retention efforts, and ensuring operational excellence.
Essential Functions and Responsibilities
Campus Leadership & Student Engagement
- Serve as the primary on-site representative of Piedmont University at the Athens campus, providing a welcoming, responsive, and student-centered environment.
- Act as a central point of contact for prospective, new, and current students, providing guidance on admissions, financial aid, registration, and program pathways.
- Build strong relationships with faculty, staff, and students to enhance the overall campus experience and sense of belonging.
- Support enrollment and retention initiatives by ensuring high-touch, concierge-level service for students.
- Coordinate campus tours, student orientations, and engagement activities in collaboration with Admissions and Student Affairs.
- Maintain in-depth knowledge of all academic programs offered at the Athens campus, including admissions criteria, progression requirements, and degree pathways.
- Assist students in navigating:
- Admissions requirements and application processes
- Financial aid and scholarship inquiries
- Student accounts and billing questions
- Course registration and scheduling
- Serve as a liaison between students and central offices (Admissions, Financial Aid, Registrar, Business Office) to ensure timely resolution of issues.
- Monitor student service trends and identify opportunities to improve processes and service delivery.
- Oversee day-to-day operations of the Athens campus to ensure a safe, efficient, and well-maintained environment.
- Coordinate maintenance of facilities, equipment, and campus resources to ensure optimal functionality.
- Serve as liaison with Facilities Management and external vendors to address maintenance, safety, and operational needs.
- Oversee scheduling and utilization of campus space, including classrooms and event areas.
- Ensure compliance with university policies, safety standards, and regulatory requirements.
- Oversee activities of contractors, service providers, and vendors supporting campus operations.
- Monitor contracts for compliance, service quality, and cost-effectiveness.
- Coordinate campus-related projects, including maintenance, renovations, and improvements.
- Assist with preparation and management of the Athens campus operating budget.
- Monitor expenses and identify opportunities for cost efficiencies.
- Prepare reports, analyze data, and provide insights related to campus operations and student services.
- Maintain accurate records, documentation, and administrative systems to support campus operations.
- Coordinate and oversee campus events, including academic programs, student activities, and community engagements.
- Collaborate with internal and external partners to enhance the visibility and utilization of the Athens campus.
- Support initiatives that strengthen Piedmont's presence and partnerships within the Athens community.
Regular and predictable attendance is required.
On-site work is required.
Incumbents must remain relevant in the area of employment and flexible to changes in work related to institutional needs.
Typical Qualifications
Required
- Bachelor's degree and 5-7 years of progressive administrative or operational experience, preferably in higher education.
- Experience with site administration including working with vendors, maintenance, budget, and contract management.
- Master's degree in Higher Education, Business, or related field
- Experience working in a satellite or branch campus environment
- Familiarity with student information systems and financial management systems
Certified Public Accountant (CPA) designation is preferred.
Valid Georgia Driver's License (or obtained within 30 days of hire date) and satisfactory MVR.
