Administrative Assistant

Reports To:

Principal and Finance Director

Position Summary:

The Administrative Assistant is responsible for maintaining accurate financial records for the Early Learning Center while also serving as the first point of contact for students, parents, staff, and visitors. This position requires excellent customer service skills, strong organizational abilities, confidentiality, and attention to detail. The employee will manage school financial transactions, student registration and records, and front office operations in a professional and welcoming manner.

Bookkeeping and Financial Responsibilities

* Maintain accurate financial records for school activity accounts and school operations.

* Process receipts, deposits, purchase orders, invoices, and reimbursements in accordance with district procedures.

* Prepare bank deposits and reconcile accounts as required.

* Maintain financial documentation and records for audits and reporting purposes.

* Assist with payroll-related documentation and timesheets as needed.

* Monitor account balances and assist administration with budget tracking.

* Ensure compliance with Brooks County Schools financial policies and procedures.

* Work closely with the district finance department regarding financial transactions and reporting.

Front Desk and Customer Service Responsibilities

* Serve as the primary receptionist for the Early Learning Center.

* Greet parents, students, staff, and visitors in a courteous and professional manner.

* Answer and direct phone calls and respond to inquiries efficiently.

* Manage visitor check-in procedures and maintain campus security protocols.

* Provide excellent customer service while maintaining professionalism in all interactions.

* Assist with communication between parents, teachers, and administration.

Registrar Responsibilities

* Manage student enrollment, withdrawals, transfers, and registration records.

* Maintain accurate and confidential student records in accordance with state and district requirements.

* Verify residency, immunization, and enrollment documentation.

* Assist parents with registration procedures and required paperwork.

* Coordinate student records requests with other schools and districts.

* Ensure student information systems are updated accurately and timely.

Additional Responsibilities

* Maintain confidentiality regarding student, employee, and financial information.

* Assist administrators with reports, correspondence, and office operations.

* Support school events and activities as needed.

* Perform other duties as assigned by the Principal or district administration.

Qualifications

* High school diploma or GED required; associate degree or higher preferred.

* Experience in bookkeeping, accounting, office administration, or school office operations preferred.

* Knowledge of basic accounting principles and office procedures.

* Strong computer skills, including Microsoft Office and financial/student information systems.

* Excellent communication, organizational, and interpersonal skills.

* Ability to multitask and work effectively in a fast-paced environment.

* Ability to maintain confidentiality and professionalism at all times.

* Strong customer service and people skills required.

Physical Requirements

* Ability to sit, stand, walk, and perform routine office duties for extended periods.

* Ability to lift and carry light office materials and supplies.

12-Month Position
