Administrative Professional – Generalist

The Administrative Professional is responsible for providing administrative support, general clerical, receptionist and project-based work. The Administrative Professional should be committed to Sanctuary practice utilizing tools that reinforce our shared language to create a trauma-responsive culture.

Primary Responsibilities:

  • Keep office running smoothly/efficiently within the team approach.
  • Act as official greeter and direct guest as needed maintaining high level of customer service.
  • Process office mail-outgoing and incoming.
  • Create and modify documents using various software with accuracy and in a timely manner as assigned.
  • Process census reports and other reports as assigned.
  • Provide administrative support to the Support Services department.
  • Monitor and insure proper licensure and policy procedures within assigned program.
  • Become notary public or maintain notary public status as assigned.
  • Ensure documentation is in full compliance with agency, licensing, accreditation and contract guidelines.
  • Manage inventory of office supplies and purchase within the budget provided.
  • Utilize personal safety plan for managing emotions and interactions with staff and clients.
  • Participate in PQI process for assigned program.
  • Additional Responsibilities:

  • Manage the switchboard, handling incoming and outgoing calls as assigned; including maintaining and operating office answering machine.
  • Crosstrain and support/fill in for HR and Finance Administrative Professional as needed.
  • Assist with planning and coordination of campus events and activities as requested.
  • Maintain orderly lobby and monitor visitor and work area.
  • Operate and maintain various office equipment.
  • Represent agency favorably at all time.
  • Other duties as assigned.
  • Requirements:

    Qualifications:

  • At least 21 years of age
  • A high school diploma or GED and one year experience in related field or successful completion of a formal training curriculum from a technical college or school pertaining to skills need to perform tasks assigned.
  • Strong written and verbal communication skills
  • Ability to sit at workstation for extended periods of time; occasionally lift/carry parcels up to 35 pounds.
  • Ability to read and interpret documents/procedure manuals.
  • Possess the ability, flexibility and maturity to render the duties and responsibilities required of this position.
  • Have the ability to manage time, set priorities and to organize and follow structured routines.
  • Advanced computer skills with the ability to learn new software applications.
  • Handle multiple tasks simultaneously.

    • Exhibit tactfulness and good judgment in dealing with people
    • Familiar with traditional Baptist tenets, customs and practices and shall maintain a compatible lifestyle
    • Meet all employee guidelines and qualifications as outlined by GBCH & FM, license, contracts and accreditation.

    • Utilize the Sanctuary Model of Care and conduct job responsibilities in a trauma-responsive manner.
    • Have the ability to work in partnership with other members in a team approach
    • Arrive to work on time and as scheduled
    • Achieve and accomplish annual goals assigned by supervisor or provide acceptable documentation as to why goals were not met.
    • Understanding of confidential issues and protected information assigned under HIPAA
    • Complete required staff development hours within the program including 24 hours in child care related training, current CPR, 1st Aid and approved emergency safety intervention training
    • Annual physical
    • Favorable MVR and fingerprint results
    • Maintain valid State Driver's License as required
