The role of the document management assistant is to ensure document and dispatch management in compliance with relevant laws and MOL Nyrt. and MOHU document management guidelines. The employee ensures that the company and its contracted partners fulfill their document retention, data provision, and dispatch management obligations in a regulated manner.
Main Tasks- Document Management System Usage — Handling paper-based and electronic documents in an accredited system, ensuring identifiability and traceability.
- Partner Data Management, Recording New Partners.
- Handling Incoming Dispatches — Receiving paper-based and electronic dispatches daily according to the professional manager's guidelines.
- Digitization Tasks — Digitizing, organizing, and recording dispatches.
- Handling Outgoing Dispatches — Envelope stuffing, mailing, and courier dispatch coordination.
- Data Protection and Security — Compliance with relevant policies in data security and data provision.
- Supporting Transitional and Central Archive Processes
- Customer Relationship and Complaint Management — Supporting external and internal partners, recording complaints, root cause analysis, development suggestions.
- Participation in Data Provision — Supporting regular and ad-hoc reports, archival transfers.
Education:
Higher education preferred.
Professional
Experience:
Experience in document management, archive, or dispatch management preferred, but we welcome applications from entry-level candidates.
Skills:
Independent, precise work performance, structured thinking, excellent communication and collaboration, customer-focused attitude.
Language
Skills:
English language skills are preferred.
IT Knowledge:
User-level knowledge of MS Office.
Other:
Knowledge of document management systems is preferred.
