Parsons is looking for an amazingly talented Administrative Assistant-Traffic Incident Management to join our team! In this role you will use your skills to help responder safety and traveler safety.
The Administrative Assistant-Traffic Incident Management will provide high-level administrative and organizational support to ensure smooth day-to-day operations. In this role, you will manage routine office tasks, assist with scheduling and coordination, prepare and track documentation, and support internal and external communications in support of the Statewide Traffic Incident Management Services project in Georgia. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced, team-oriented environment.
This position offers flexible work arrangements, but will require some on-site at the Parsons office and project field locations.
What You'll Be Doing:
- Managing calendars, scheduling meetings, and coordinating appointments and conference calls
- Preparing, editing, and formatting documents, reports, presentations, and correspondence
- Organizing and maintaining digital and physical files, records, and databases
- Assisting with meeting preparation, including agendas, materials, notes, and follow-up action items
- Handling incoming calls, emails, and inquiries; routing requests to the appropriate team members
- Supporting travel arrangements and logistics (e.g., booking venues, accommodations, and transportation)
- Assisting with basic accounting and expense tracking (e.g., invoices, receipts, reimbursements)
- Coordinating with internal teams and external partners on routine administrative tasks
- Supporting the planning and documentation of events, workshops, and training sessions
- Performing other administrative duties as assigned to support overall team operations
- Providing support services for the TIME Task Force, HERO, and other project services
- Providing administrative support for the TRIP program to include handling tower outreach, administrative accounting, maintaining training records, coordinating meetings, and other tasks to support the program's operations.
What Required Skills You'll Bring:
- Associates Degree in Business (or equivalent) and typically 8+ years of experience in an administrative capacity, preferably in the assigned area of specialty.
- Strong written and oral communication, organizational, and interpersonal skills are required.
- Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel.
- Ability to analyze and revise operating practices to improve efficiency.
- Detail oriented and comfortable working in a fast-paced office environment
- Superior organization skills and dedication to completing projects in a timely manner
- Strong proficiency with Microsoft Office Suite (e.g., Word/Docs, Excel/Sheets, PowerPoint/Slides, Outlook/Gmail)
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to manage multiple tasks and deadlines
- High attention to detail and accuracy in documentation and data entry
- Proven ability to maintain confidentiality and handle sensitive information
- Customer-service mindset and professional demeanor when interacting with staff and external stakeholders
- Ability to work both independently and collaboratively as part of a team
- Reliable, punctual, and responsive to changing priorities
