Job Summary
The Customer Service Representative is responsible for processing customer orders accurately from entry through delivery while maintaining strong customer relationships. The role works closely with Sales, Engineering, Sourcing, Scheduling, Accounting, and Production to ensure customer orders are handled professionally and on time.
The position also supports Accounting with AP entry, reconciliation, payment terms, and accounts receivable activities. Must be a local candidate!
Customer Service- Process customer orders, quotes, purchase orders, confirmations, and invoices accurately.
- Respond to customer inquiries by phone and email in a professional and friendly manner.
- Coordinate with Engineering, Sales, Purchasing, and Production on orders, quotes, lead times, and delivery needs.
- Verify customer and order details to ensure accuracy versus quotes and purchase orders.
- Work with Planning on order changes, due dates, and delivery scheduling.
- Maintain accurate customer and item records.
- Arrange shipments, create BOLs and shipping labels, and coordinate pickups.
- Consolidate shipments when possible to improve efficiency and reduce freight costs.
- Maintain customer files and records.
- Report late orders and support customer complaint handling through NCRs.
- Perform receptionist and switchboard duties as needed.
- Support additional projects and tasks as required.
- Issue invoices promptly after shipment.
- Follow up on collection issues for recent overdue invoices.
- Review purchasing proposals based on forecast, inventory, open orders, lead times, MOQs, and demand signals.
- Create purchase orders for internal and external vendors.
- Monitor open purchase orders and follow up to support on-time delivery.
- Support receiving and ERP entry for inbound goods.
- Follow up with suppliers on quality and delivery issues.
- High school diploma required.
- Some college coursework or training in accounting or customer service preferred.
- 2+ years of customer service experience.
- 1+ year of accounts payables.
- Fluent in English, written and spoken.
- Act professionally and ethically at all times.
- Contribute to a positive work environment through respect, cooperation, and open communication.
- Strong planning and organizational skills.
- Good interpersonal, verbal, and written communication skills.
- Ability to solve customer problems effectively.
- Ability to work collaboratively across teams.
- Proficiency in MS Office.
- Ability to read and interpret business documents and respond appropriately to customer inquiries.
- Follow all health and safety policies, procedures, and regulations.
- Use required protective equipment and report hazards or equipment issues immediately.
- Maintain safe behavior at all times.
- Understand and follow the company’s waste separation system.
