Reports To: Executive Director

Status: Full-Time, Exempt

Position Summary

The Director of Finance & Accounting provides strategic financial leadership for Mostly Mutts. This position is hands‑on with financial integrity, reporting, compliance, forecasting, and long‑term planning.

This role ensures accurate financial statements, strong internal controls, and clear financial insight to support the shelter, Market, spay/neuter clinic, and fundraising operations. The Director serves as the primary liaison to auditors, banks, and government agencies with a high level of personal ownership, attention to detail, and consistent execution, with support from two part‑time team members.

Key Responsibilities

  • Own and complete month‑end close, reconciliations, and journal entries.
  • Review and approve all financials prepared by the accounting team.
  • Develop and refine allocation methodologies.
  • Prepare financial close packages for leadership and the Board.
  • Produce Board reports and respond to Board financial questions.
  • Reorder and refine financial statement presentation for clarity and insight.
  • Manage cash vs. accrual accounting reconciliation and rationale.
Strategic Planning & Forecasting
  • Lead budgeting, forecasting, and long‑range financial planning.
  • Support large projects, capital planning, and financial projections.
  • Receive financial data and transaction details from the operations team.
  • Provide financial analysis and recommendations to the Executive Director.
Audit, Taxes & Compliance
  • Serve as primary point of contact for auditors and tax professionals.
  • Prepare audit documentation and tax filings.
  • Manage IRS matters.
  • Ensure compliance with Georgia Registered Charity requirements.
  • Serve as point of contact for IRS, property tax exemptions, and other government entities.
Banking & Cash Management
  • Oversee reconciliation of all bank accounts.
  • Review bank statements for accuracy and identify issues or improvements.
  • Act as primary banking contact and advisor to the Executive Director.
Systems & Problem Solving
  • Troubleshoot accounting and system issues, including working directly with software providers such as Quick Books.
  • Resolve discrepancies within financial records and reporting.
  • Analyze spending across Market, Shelter, and Spay/Neuter operations.
  • Advise on capitalization vs. expense decisions.
  • Support spay/neuter clinic accounting, budgeting, and class tracking.

Qualifications

  • Bachelor’s degree in Accounting, Finance, or related field required.
  • 5–7+ years of progressive accounting/finance experience, ideally in a nonprofit environment.
  • Strong knowledge of GAAP and nonprofit/fund accounting.
  • Experience with full‑cycle accounting, including month‑end close, reconciliations, and financial reporting.
  • Proven experience with budgeting, forecasting, and long‑term financial planning.
  • Experience managing audits, Form 990, and regulatory compliance.
  • Strong understanding of internal controls and process improvement.
  • Proficiency in Quick Books and advanced Excel skills.
  • Experience working with multiple revenue streams, including retail, donations, and programs, is a plus.
  • Ability to translate financial data into clear, actionable insights for leadership and Board members.
  • Highly organized, detail‑oriented, and able to manage multiple priorities.
  • Hands‑on leader who can both oversee and execute day‑to‑day accounting functions.
  • Strong communication skills with the ability to work across departments.
  • High level of integrity, accountability, and ownership.
  • Passion for animal welfare and supporting a mission‑driven organization.
  • Must be able to work in a loud environment with interruptions.
  • Occasional evenings or weekends may be required for events, campaigns, or special initiatives.
  • Must work well with others and be part of a team.
  • Must be comfortable working around animals.
  • Must pass a criminal background check.
