JOB DESCRIPTION

JOB TITLE
:
Clinic Clerical Coordinator

GENERAL SUMMARY OF DUTIES: Responsible for front office flow and front office operations within the clinic(s). Responsible for greeting patients and visitors, scheduling appointments, relaying messages and registration of patients for appointments. Coordinates patient check-in procedures, collects patient payments, and manages all information necessary for complete patient demographics.

RESPONSIBILITIES

Duties include but are not limited to:

  • Greets patients and visitors in a prompt and helpful manner; provides instructions/directions as needed
  • Ensures patient information is complete and accurate; updates patient profiles and scans required documents in EHR if necessary
  • Collects co-payments and outstanding balances
  • Manages patient monies collected and closes batches at end of day
  • Provides necessary release and HIPAA forms to patient for completion and signature
  • Informs clinical staff or other appropriate parties of patient arrivals
  • Ensures that insurance plan benefits are verified
  • Ensures patient referrals are obtained as required by managed care plans
  • Monitors schedule and organizes patient flow for office appointments
  • Cancels and/or marks missed appointments as no show when necessary
  • Maintains clean and orderly waiting area; coordinates patient movement, reports problems or irregularities to Practice Manager
  • Meets or exceeds quality and productivity standards as set by the Practice Manager
  • Answers emails and voicemails and returns patient calls in a timely and efficient manner
  • Completes requests for information from other office or billing staff and ensures that requests are handled promptly and effectively
  • Abides by and promotes HIPAA compliance; maintains strictest confidentiality with regards to patient information
Other Duties
  • Responsible for reconciling daily deposits for the clinic and maintaining clinic financial logs
  • Responsible for training of front office staff as it relates to front office duties
  • Notifies management of any obstacles or needs the team might have or need in order to effective perform job duties
  • Manages provider schedules and works in coordination with practice manager to block provider schedules for approved time off etc.
  • Any other duties and/or special projects as assigned by practice manager/practice administrator
  • Coordinate Drug Rep Lunches and Educational Meetings
REQUIRED EDUCATION, SKILLS, AND EXPERIENCE

High School Diploma or GED required. Front Desk Lead must be computer literate and able to operate EHR and multiple Microsoft Office applications. Must have a minimum of 5 years of Healthcare Clinic Experience

ADDITIONAL SKILLS AND EXPERIENCE

Front Office Lead must be able to:

  • Possesses the ability to deal with patients, visitors, co-workers, and physicians with courtesy and respect and have exceptional leadership skills.
  • Displays a professional outgoing warm and helpful attitude
  • Possesses compassion for dealing with people who are ill and need help
  • Plan, prioritize, and complete multiple tasks as delegated by the Practice Manager
  • Work under pressure; assess, respond, and communicate issues in a timely manner
  • Communicate clearly with patients and coworkers through the telephone, email, and in-person
  • Interpret and apply clinical and non-clinical policies and procedures

Requires sitting and standing associated with a normal office environment; travel as needed.
