Pay Range$20.80 - $31.20
Major Responsibilities- Creates the initial electronic health record that serves as the foundation of the patient medical record used by all members of the healthcare team, preventing duplicate records that could cause treatment safety issues and billing problems. Ensures compliance with accrediting bodies’ mandates to positively identify a patient prior to care delivery for safety.
- Checks in and registers patients; obtains and verifies complete demographic, guarantor, and insurance information; discusses and collects co‑pays and other out‑of‑pocket patient responsibilities. Accurate information at registration ensures timely payment and prevents billing issues and complaints. Maintains confidentiality of patient personal/financial information and medical records in accordance with HIPAA.
- Knows insurance basics and identifies commercial and government plans, understanding which plans Advocate Health contracts with and when a statement of financial responsibility is required. Discusses financial information and obligations with patients and knows when to refer patients to Financial Advocates.
- Ensures compliance with government agencies and regulations (HIPAA, EMTALA, Consent for Treatment, Patient Rights and Responsibilities, IMM, MOON, Notice of Privacy Practices, MSPQ, ABN). Obtains patient guarantor signatures as required.
- Schedules patient appointments and coordinates cancellations, reschedules, wait‑list requests, and recall requests. Provides accurate, detailed information regarding test preparations, patient arrival time, medication/food/beverage consumption guidelines, check‑in procedures, directions to facility, etc.
- Creates a welcoming, professional environment for patients and visitors, demonstrating extraordinary customer service. Greet patients and visitors, respond to routine information requests, answer telephone, screen calls, take messages, and offer assistance (transportation, directions, wheelchair, interpreter services).

- Collects and manages payments, including cash, with security and cash‑handling procedures.
- Comfortable with computer systems, including technical proficiency with insurance verification/eligibility tools, EPIC EMR, patient liability estimation tools, electronic email, Microsoft Office, web browsing, and phone technology.
- Understanding of basic medical and insurance terms and abbreviations used in scheduling and registration.
- HIPAA‑compliant and knowledgeable of state and federal rules, handling confidential information per policy.
- General understanding of Medicare, Medicaid, managed care, and commercial payers, including regulations and pre‑certification requirements.
