Job Description

The primary responsibilities of this position are to provide a best-in-class pre-boarding and onboarding experience to pre-hires and new employees. This role will provide support for all pre-employment processes within Workday HCM Core. This role combines detailed process coordination with consultative, sensitive communication. The coordinator manages all pre-hire and day 1 activities, ensures adherence to legal and company compliance requirements, and handles confidential and sometimes difficult conversations (e.g., offer rescinds, background check issues) with professionalism and empathy.

Experience

* 2+ years of customer service experience, HR, or talent acquisitions

Preferred Qualifications

* Experience in recruitment and/or onboarding specialist role

* Experience in employee engagement or employee experience

* Working knowledge of Workday

Education

* Bachelor's Degree preferred

Job Responsibilities

Onboarding Coordination & Experience

* Coordinate and communicate end-to-end onboarding logistics and system orientation schedules for new hires, including new employee orientation and the full onboarding journey.

* Schedule and manage new employee orientations, pre-employment health screening, security appointments, and background screening & clearance.

* Serve as primary point of contact for new hires, answering questions and guiding them through onboarding steps.

* Partner with HR, Recruiting, Security, Learning, Clinical Learning and hiring managers to ensure a seamless day 1 experience.

* Monitor onboarding workflows and service level agreements (SLAs), escalating issues proactively to prevent delays.

* Manage new employee roster processes as a pathway for informing others of new hire training requirements.

Compliance & Documentation

* Ensure all onboarding activities comply with federal, state, local employment laws, the Joint Commission and other accrediting bodies as well as internal policies (e.g., I‑9, E‑Verify, background checks, drug screens, MVRs, etc.).

* Review and verify completion of all required documentation (e.g., offer letters, agreements, policy acknowledgments, confidentiality forms).

* Own pre-boarding process documentation to ensure all processes are up-to-date and recorded in system of record.

* Maintain accurate and timely data in HRIS/ATS and digital personnel files, ensuring data integrity and audit readiness.

* Support internal and external audits by providing documentation and responding to inquiries.

* Conduct primary source verification to ensure that minimum role qualifications are adhered to for all new external hires, to include monitoring of licensure and certifications.

Sensitive & Consultative Communications

* Conduct confidential, sensitive conversations with new hires regarding background check results, including adverse findings; requests for additional information or documentation related to background checks or employment eligibility; start date…
