Dental Clinic Manager

Provide operational leadership for the dental clinic by overseeing daily operations, supervising administrative and clinical support staff as designated by the organizational chart, and ensuring efficient, high-quality, patient-centered services in collaboration with the Dental Director and CAHC Leadership.

Major Duties:

  • Play an active role in patient services using the provider-led, team-based Patient Centered Medical Home Care Model.
  • Serve as the central communication hub between the clinical team, front office, Dental Director and CAHC Leadership.
  • Serve as a role model for effective teamwork among staff, both clinical and administrative and actively work to maintain positive morale and attitude.
  • Partner with clinicians to support overall practice success.
  • Monitor and improve operational performance by evaluating provider schedules, patient access, productivity, no-show rates, clinic workflows, and other key performance indicators. Develop and implement process improvements to enhance efficiency, patient experience, and operational outcomes.
  • Foster a positive, professional, and patient-focused clinic culture.
  • Maintain a professional, warm and efficient environment for patients ensuring they receive exceptional patient experience and standard of care as guided by the Dental Director.
  • Identify opportunities to improve clinic efficiencies and workflow before they affect the patient experience.
  • Define processes and procedures to ensure efficient and timely appointment scheduling, patient check-in and check-out; completion of appropriate CAPWN patient forms & recording of demographics into the Electronic Medical Record (EMR).
  • Support the preparation and presentation of treatment plans, including out-of-pocket estimates and financing options
  • Ensure accurate calculation and determination of sliding fee scale; calculation and collection of charges, determination of presumptive eligibility for Nebraska Medicaid; update patient information in the chart; complete pre-authorization of insurance.
  • Implement procedures for accurate and timely maintenance of client's dental chart, which includes but is not limited to; appropriate scanning of client paperwork in chart including income documentation into every household member's dental record and notes for patient encounters including phone calls.
  • Work with billing department to complete accurate and timely billing for all dental encounters, including billing for Medicaid, private insurance and uninsured patients.
  • Assist and support billing staff regarding collections, denials, and revenue cycle.
  • Handle patient concerns, billing questions, and escalations with confidence and care.
  • Oversee supply inventory, vendor relationships, and equipment service coordination
  • Coordinate staff schedules and reviewing PTO requests to ensure adequate staffing.
  • Responsible for hiring, onboarding, directing, and mentoring staff, including communicating job expectations, providing performance reviews, timecard review and managing corrective actions.
  • Ensure compliance with company policies and state and federal regulations.
  • Develop, execute and periodically review the adherence to policies and established procedures to ensure effective and efficient delivery of care.
  • Maintain operational systems that ensure HIPAA compliance, OSHA standards, and dental regulatory requirements are met at all times.
  • Maintain confidentiality of records and communications following CAPWN policy and HIPAA privacy and security policies and procedures.
  • Participate in quality assurance process for the dental clinic.
  • Attend staff training sessions and meetings as required.
  • Promote program in a positive manner in the community.
