Fingerprint Clearance Card: Must have a Level One IVP Fingerprint Clearance Card prior to processing.
Purpose Statement: The role of Department Executive Assistant ensures that personnel procedures conform to district policies; provides complex and confidential secretarial support to department administrators; acts as a liaison between administrators and other parties; monitors assigned programs and projects.
Essential Functions- Assist in planning, organizing, and developing programs to ensure compliance with district, state, and federal requirements.
- Compose documents such as letters, agendas, minutes, bulletins, and reports.
- Evaluate situations involving staff, students, parents, and external parties to determine appropriate action.
- Inform personnel of procedures and program requirements to facilitate decision-making and fiscal compliance.
- Maintain confidential files and records in accordance with administrative and legal requirements.
- Monitor departmental activities and program components to ensure goals, deadlines, and regulatory requirements are met.
- Participate in meetings, workshops, and seminars to convey and gather necessary information.
- Prepare written materials such as Board Summaries, reports, memos, letters, salary projections, and agenda items.
- Process documentation including work requests, information, programming needs, and enrollment.
- Research topics such as current practices, policies, education codes, and employment laws to provide informational support.
- Respond to inquiries to provide information and direction.
- Supervise assigned personnel by scheduling, evaluating, training, and recruiting to ensure efficient department functions.
- Support assigned administrators with administrative tasks.
- Assist other personnel in completing their work activities.
