Annual Rate: $55,224 and up depending on experience

Fingerprint Clearance Card: Must have a Level One IVP Fingerprint Clearance Card prior to processing.

Purpose Statement: The role of Department Executive Assistant ensures that personnel procedures conform to district policies; provides complex and confidential secretarial support to department administrators; acts as a liaison between administrators and other parties; monitors assigned programs and projects.

Essential Functions
  • Assist in planning, organizing, and developing programs to ensure compliance with district, state, and federal requirements.
  • Compose documents such as letters, agendas, minutes, bulletins, and reports.
  • Evaluate situations involving staff, students, parents, and external parties to determine appropriate action.
  • Inform personnel of procedures and program requirements to facilitate decision-making and fiscal compliance.
  • Maintain confidential files and records in accordance with administrative and legal requirements.
  • Monitor departmental activities and program components to ensure goals, deadlines, and regulatory requirements are met.
  • Participate in meetings, workshops, and seminars to convey and gather necessary information.
  • Prepare written materials such as Board Summaries, reports, memos, letters, salary projections, and agenda items.
  • Process documentation including work requests, information, programming needs, and enrollment.
  • Research topics such as current practices, policies, education codes, and employment laws to provide informational support.
  • Respond to inquiries to provide information and direction.
  • Supervise assigned personnel by scheduling, evaluating, training, and recruiting to ensure efficient department functions.
  • Support assigned administrators with administrative tasks.

Experience, Education, and Certifications

Experience: Job‑related experience with increasing responsibility is desired.

Education: High School diploma or equivalent.

Certifications/Clearances: Valid Arizona DPS Level One IVP Fingerprint Clearance Card required while employed.
