The Wolff Company is a multifamily-focused real estate investment firm seeking a Capital Project Coordinator – ESG & Multifamily Housing to support capital improvement, renovation, and sustainability initiatives across our national portfolio. This role is hybrid, with an expected in-office presence 1 day per week at our Scottsdale, AZ office. Occasional additional in-office days may be necessary to support important projects, collaboration, or meetings.

Fully remote candidates may be considered.

Responsibilities

The Capital Project Coordinator provides administrative, coordination, and reporting support for capital improvement and renovation projects. This role partners closely with the VP of Capital Improvements, asset management, property management, accounting, and external consultants to ensure projects are well-documented, accurately tracked, and clearly reported. The position emphasizes organization, follow-through, and data support rather than direct project leadership.

Capital Project Coordination
  • Assist the VP of Capital Improvements with documentation, contract processing, and record‑keeping for capital projects, including interior renovations, exterior upgrades, MEP systems, and common area improvements.
  • Support project activities throughout the lifecycle from design and permitting through construction, closeout, and post‑project review by tracking milestones, maintaining files, and coordinating information flow.
  • Coordinate with asset management, property management, and accounting teams to facilitate progress payments, invoices, and closeout documentation.
  • Prepare and maintain status reports and tracking tools that monitor project progress both physically and financially.
ESG & Sustainability Support
  • Assist in identifying opportunities to incorporate energy efficiency, sustainability, and decarbonization initiatives into capital projects (e.g., HVAC upgrades, LED lighting, low‑flow fixtures).
  • Support data collection, benchmarking, and reporting for energy, water, and waste performance metrics.
  • Help compile information used to evaluate ROI and payback for ESG‑related capital investments and support grant or incentive applications as directed.
  • Research and document compliance requirements related to state and local Building Performance Standards (BPS) in coordination with operating teams.
Budgeting & Vendor Coordination
  • Maintain project budgets, schedules, and scope logs, ensuring information is accurate, current, and properly documented.
  • Serve as an administrative point of contact for general contractors, architects, engineers, and consultants by coordinating communications, tracking deliverables, and organizing records.
  • Assist with tracking compliance documentation related to codes, zoning, and permitting requirements in coordination with project leadership.
Qualifications
  • Experience supporting or administering multifamily residential or commercial real‑estate portfolios.
  • Working knowledge of green building concepts, energy efficiency programs, and ESG metrics.
  • Strong understanding of project financial tracking, budgets, and cost reporting.
  • Highly organized with strong written communication, coordination, and follow‑through skills.
  • Proficiency with property and project management tools and the Microsoft Office Suite.
