Job DescriptionESSENTIAL DUTIES AND RESPONSIBILITIES:
- Support HUSD Vision, Mission and Goals.
- Responds to all inquiries (telephone, fax, e-mail, and personal), schedules appointments and provides information to staff, parents, students, and the public based on knowledge of general district policies and procedures.
- Monitors and maintains campus budget. Orders supplies and enters purchase orders. Assists in the preparation of a variety of financial and statistical reports and associated materials.
- Ensures staff positions are covered each school day, assists in finding substitutes, prepares materials/keys for substitutes, and reconciles substitute time accounting. Monitors substitute budget.
- May assist with the coordination of the calendar and/or schedules. Schedules meetings, trainings, interviews, field trips, other school events. Prepares the school calendar for publication.
- Serves as liaison between administrative staff and parents, students, the public. Serves as office coordinator for large projects, delegating tasks to other office clerical staff.
- Composes documents, correspondence, agendas, minutes, bulletins and reports for the Principal/Assistant Principal for the purpose of communicating information to students, staff, administrators and the general public.
- Updates the school website, supplies the marquee message, prepares school newsletter for staff and for parents.
- Checks out assets to staff at the beginning of the year, including keys, computers, other electronic equipment, etc. Accounts for all assets at the end of the school year when staff check in assets.
- In accordance with legal and administrative requirements, maintains complete and accurate files and records and other proper documentation as required for student records and/or as required by the Business Office.
- Updates school website.
- Collects, counts and prepares all monies collected for field trips.
- Supervises students sent to the office.
- Attends meetings as required to receive or convey information.
- Establishes and maintains various files and records.
- Serves as a backup to other staff in the office such as front desk, health assistant, attendance specialist, or registrar, as needed.
- Monitors timekeeping for hourly staff, watching for missed punches, staff working over assigned hours, etc.
- Due to the potential for access to confidential student and staff information, it is absolutely mandatory that this position safeguard and maintain the confidentiality of the information stored and discussed in the school and District.
- At times it may be necessary to assist with Health office duties.
- Performs other duties as assigned.
QUALIFICATIONS AND REQUIREMENTS:
- Must have excellent organizational, customer service, communication, and writing skills. Must be able to establish positive relationships with parents, students and teachers. Must have ability to multitask and be attentive to detail. Must be flexible and able to adapt to changing priorities. Must maintain confidentiality of student information and school business.
- Intermediate proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Experience with a student information system preferred. Ability and willingness to learn new software.
- Experience working in a school system preferred. Budget management skills preferred.
- Ability to pass background and reference checking as stipulated by District standards.
- Valid IVP Fingerprint Clearance Card.
