Job Summary:

Coordinates documents and gathers and inputs data related to assigned administrative support duties for a team, department, function or other organizational leader/group. Completes work with a limited degree of supervision.

We are looking for a talented Branch/Service Administrator to join our team in (Gillette, WY). This is a role with Branch Administrator and Service Administrator responsibilities.

Will make an impact in the following ways:

  • Conduct research, prepare reports, and address routine information requests.
  • Gather, compile, verify, and accurately enter data into documents, databases, and spreadsheets.
  • Assist with correspondence, scheduling meetings, arranging conference calls, and receiving visitors.
  • Prepare and submit documentation for vendor, supplier, and third-party payments; respond to related inquiries.
  • Support departmental business improvement projects and maintain policies and procedures.
  • Cross-train in areas such as customer parts and service invoicing, deliveries, fleet management, and HSE inspections to support business continuity.
Responsibilities

In order to be successful in this role you will need the following:

  • Some work experience or intermediate-level knowledge in administrative support, data entry, or office operations.
  • Strong organizational skills with high attention to detail and accuracy.
  • Proficiency with databases, spreadsheets, and office software. Ability to communicate effectively with internal and external stakeholders. Willingness to learn and cross-train in multiple departmental functions. Commitment to accountability, customer focus, and safety in the workplace.
  • Assist with processing of Ariba POs
  • Managing of local vendors
  • Daily Banking and over the counter cash reconciliation, cash aging monitoring
  • Customer portal work that involves confirmation of POs, processing of POs and resolving any account queries when they do come up
  • Assist with deliveries to local customers if needed, to reduce the excessive hot shot expense that is incurred weekly
  • Will be cross trained to assist with customer parts and service invoicing to ensure business continuity if other employees take vacation.
  • Branch warranty claims
  • Managing of annual site training renewals for technicians
  • Fleet management and scheduling preventative maintenance and repairs
  • HSE monthly inspections and safety meetings
  • Managing and coordinating events for the branch that involves EEEC
  • Will get cross trained to assist the parts department admin action items to drive continues improvements
  • Will be included in the on call schedule once fully cross trained
