Salary Range: $55,000.00 To $60,000.00 Annually
Position PurposeThe Executive Director manages the day-to-day operations, programming, staffing, marketing, financial activities, and facility needs of the Plaza Theatre. The Director works under the general direction of the Mayor in carrying out established goals and priorities. The Director works closely with the Plaza Theatre Advisory Board, which provides guidance and recommendations regarding Theatre goals, programming, operations, and community needs.
Essential Functions and Basic DutiesTheatre Administration and Operations
- Directs and coordinates the day-to-day operations of the Plaza Theatre
- Implements goals, priorities, policies, schedules, and operating practices
- Coordinates Theatre activities with performers, renters, patrons, vendors, community organizations, City departments, and other stakeholders
- Maintains necessary operational records and provides reports, recommendations, and updates to the Mayor and Plaza Theatre Advisory Board
- Represents the Plaza Theatre at meetings, community activities, promotional events, and other functions as required
- Identifies, evaluates, and recommends performers, productions, and events for Plaza-sponsored programming based on community interest, anticipated attendance, projected revenues and expenses, operational requirements, and financial risk
- Negotiates proposed terms for Plaza-sponsored bookings and recommends contracts for approval
- Coordinates and administers approved Plaza-sponsored bookings, including scheduling, ticket pricing, staffing, promotion, production requirements, concessions, and other event needs
- Reviews and approves Theatre rental requests within established policies, schedules, fee structures, and delegated authority and coordinates rental-related facility and operational needs
- Negotiates rental terms within established policies and recommends contracts for approval and execution
- Develops and implements marketing and promotional efforts to increase Theatre awareness, utilization, attendance, ticket sales, and revenue
- Promotes the Plaza Theatre as a regional venue and supports promotional efforts associated with rental events as appropriate
- Develops relationships with performers, booking agents, promoters, arts organizations, businesses, community groups, and other organizations to support programming and Theatre utilization
- Assists the Finance Director in the development of annual budget requests, projections, priorities, and recommendations for Theatre operations, programming, staffing, maintenance, equipment, and marketing
- Administers the approved Theatre budget and manages expenditures within authorized appropriations, City policies, and established financial controls, with oversight from the Finance Director
- Monitors Theatre revenues, expenditures, and financial performance and provides financial and operational recommendations to the Mayor and Finance Director
- Negotiates business terms for performer agreements, rental agreements, sponsor ships, service agreements, and other contracts and recommends agreements for approval and execution
- Administers approved contracts and agreements and ensures Theatre financial activities, receipts, expenditures, and revenues are properly documented and processed in accordance with City policies
- Develops and coordinates fundraising and sponsorship opportunities to support Theatre operations, programming, and special events, consistent with City policies and approval requirements
- Supervises, directs, schedules, and evaluates assigned Theatre employees
- Recruits, trains, schedules, coordinates, and directs volunteers supporting Theatre operations and events
- Determines staffing needs, assigns work, establishes priorities, and ensures appropriate staffing for performances, rentals, special events, and routine operations
- Supervises the Technical Director and other specialized Theatre personnel while relying on those employees for technical expertise within their assigned areas
- Identifies staffing, training, equipment, and operational needs and promotes effective teamwork, customer service, professionalism, and accountability
- Oversees the condition, security, maintenance, and general operation of the Plaza Theatre facility
