We are seeking a highly organized, dependable, and compassionate Administrative Coordinator & Scheduler to join our growing team.
Position SummaryThis role is an important part of our day-to-day operations. You will be responsible for caregiver scheduling, client coordination, and administrative support, helping ensure that our clients receive consistent, dependable care.
The ideal candidate is detail-oriented, organized, professional, and able to manage multiple priorities while remaining calm and solution-oriented. This position requires someone who can work independently, take initiative, and genuinely enjoys helping clients, families, and caregivers.
Key ResponsibilitiesScheduling & Operations
Coordinate and manage caregiver schedules for client assignments
Ensure proper coverage for all shifts, including urgent and last-minute needs
Respond to caregiver call-outs and assist with finding replacement coverage
Communicate schedule updates clearly with caregivers and clients
Maintain accurate schedules in our home care software/EMR
Follow up on scheduling issues and outstanding tasks
Administrative & HR Support
Assist with onboarding new caregivers, including documentation and follow-up
Maintain employee and client files and documentation
Assist with background checks and employment verifications
Track and follow up on required documents and certifications
Assist with maintaining accurate employee records and compliance documentation
Client & Care Coordination Support
Answer incoming calls in a professional, warm, and empathetic manner
Assist with client inquiries and scheduling consultations
Communicate with clients and families regarding scheduling and routine service needs
Document interactions and updates in company systems
Support coordination between clients, caregivers, and leadership
Help maintain positive relationships with clients, families, and caregivers
General Office Duties
Data entry and record maintenance using cloud-based systems
Maintain confidentiality at all times
Support leadership with additional operational needs as required
Track and follow up on important operational goals and information
Help keep the office organized and running efficiently
1–3 years of relevant experience preferred
Experience in home care, healthcare, scheduling, staffing, or administration strongly preferred
Proficiency with Microsoft Office and cloud-based computer systems
Experience with scheduling software or EMR systems is a plus
Strong organizational and time-management skills
Excellent attention to detail and follow-through
Ability to multitask and prioritize effectively
Strong written and verbal communication skills
Ability to remain calm, flexible, and solution-oriented in a dynamic environment
Self-starter with a strong sense of accountability and ownership

$20–$23 per hour, based on experience
Approximately 25 hours per week
Monday–Friday schedule
Typical hours may be 9:00 AM–2:00 PM or 10:00 AM–3:00 PM
Flexible scheduling with the ability to adjust hours based on the needs of the office
Occasional on-call availability may be required
