Job SummaryThe Administrative Support Representative provides outbound support, completes special projects, and performs a variety of administrative tasks to ensure operational efficiency. This role is responsible for conducting outbound verification calls, performing accurate data entry, processing paperwork, organizing files, and supporting additional duties assigned by the Manager. The position plays a key role in maintaining organized records, ensuring quality documentation, and supporting both internal teams and external customers through professional communication and reliable administrative assistance.
EssentialJob Functions and Responsibilities
- Complete outbound verification calls to confirm customer, provider, or service‑related information.
- Document call results accurately within internal systems.
- Follow verification scripts and compliance guidelines to ensure data accuracy.
- Support special projects assigned by the Manager or Supervisor, including research, documentation review, or workflow tasks.
- Perform high‑accuracy data entry into internal databases or forms.
- Process paperwork such as applications, updates, records, or project‑related documents.
- Organize, file, and maintain both electronic and hard‑copy records for easy access and compliance requirements.
- Make outbound calls to request missing information, provide updates, or support operational needs.
- Occasionally assist with inbound calls as required by workflow, ensuring clear communication and professional service.
- Escalate issues or complex questions to the Supervisor when necessary.
- Use call center and operations software to document interactions, update records, and maintain accurate files.
- Ensure all entries meet organizational standards for completeness and quality.
- Adhere to all company policies, procedures, and compliance requirements.
- Participate in ongoing training to stay updated on processes and documentation standards.
- Complete additional duties as assigned by the Manager or Supervisor to support operations.
- Strong verbal and written communication skills.
- Excellent attention to detail and accuracy in data entry and paperwork processing.
- Strong organizational skills, especially with filing and document management.
- Ability to handle repetitive tasks while maintaining quality and speed.
- Proficiency with basic computer applications and internal CRM or call center software.
- Ability to prioritize multiple tasks and work independently with minimal supervision.
- Minimum 1+ year of experience in administrative support, customer service, call center operations, or a related field preferred.
