ResponsibilitiesWe are seeking a highly organized, detail-oriented, and proactive Executive Assistant to support our President and executive team. This individual must be able to handle multiple tasks, prioritize effectively, maintain confidentiality, and work with minimal supervision in a fast-paced environment. The ideal candidate will have a proven track record of providing exceptional administrative support at the executive level in a corporate setting, preferably within the insurance industry.
- Provide comprehensive administrative support to the executive team, ensuring effective and efficient operations.
- Manage complex calendars, arrange meetings and conference calls, coordinate schedules, take and distribute meeting notes, arrange for meeting spaces, and set up necessary technology.
- Assist in the preparation and distribution of correspondence, reports, presentations, and other documents.
- Prepare agendas for meetings and briefs to ensure executives are well-prepared for engagements.
- Coordinate travel arrangements including booking flights, hotel accommodations, transportation, and meals as needed.
- Act as a liaison, maintaining open lines of communication among executives, managers, and employees.
- Maintain a high level of professionalism and confidentiality in dealing with sensitive information.
- Assist in the execution of special projects as required by the executive team.
- Prepare financial reports, expense reports, invoices, credit card resolution, and provide other financial administration support.
- Review and organize corporate records, documents, and reports on the company drive, including maintaining the internal SharePoint site.
- Support employee engagement by coordinating elements of the Employee Recognition Program and supporting key HR and management initiatives.
- Perform other duties as assigned.
- Bachelor's degree in Business Administration or related field preferred.
- Minimum 2 years' experience in an administrative role at the executive level.
- Experience in the insurance industry highly desired.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
- Excellent communication skills, both written and verbal.
- Strong organizational skills with the ability to prioritize multiple tasks with meticulous attention to detail.
- Demonstrated proactive problem-solving with strong decision-making ability.
- Ability to maintain a high level of integrity, discretion, and confidentiality.
- Ability to adapt to change with a focus on problem solving.
