We are looking for an Executive Assistant to support on-site managers in Moseley, VA. We want to meet you if you are a tech-savvy professional with excellent customer service experience. Our ideal candidate has exceptional oral and written communication skills and can develop engaging content. You should be a ‘people person’ who can provide excellent service via phone, email, or face-to-face with community owners.

PRIMARY

DUTIES:
  • Perform general office duties including but not limited to typing, file management, some accounting functions, mailing, answering telephones, etc.
  • Screen and direct phone calls and distribute correspondence effectively. Expectation to respond to emails and phone calls by end of day when possible and always within 24 hours.
  • Act as the primary point of contact among executives, employees, clients, and other external partners.
  • Interact with residents, contractors, etc., via phone, email, and in person, and direct them to the appropriate staff member.
  • Manage information flow in a timely and accurate manner. Both phone calls and emails should be monitored regularly.
  • Format information for internal and external communication – memos, emails, presentations, reports.
  • Organization and maintenance of office filing system and supply inventory.
  • Manage the processing of completed administrative forms.
  • Assist owners and clients with general questions, concerns, and review of accounts.
  • Assist with manager-assigned tasks and projects, including, but not limited to, broadcast emails, community notifications, and updating the community calendar.
  • Maintain a basic understanding and knowledge of the Association’s governing documents (Declaration, Article of Incorporation and Bylaws), Rules and Regulations, and Architectural Standards.
  • Preparation of monthly newsletter(s) and updating of community calendar and website.
  • Working with the community Social/Event Committee to develop and implement entertainment, education, fitness, aquatics, and special events programs for the residents.
  • Publish and promote events utilizing Sign-up Genius, the community website, and broadcast emails.
  • Coordinate outside vendors, such as food trucks, food/beverage, and entertainment for events or others.
  • Oversee events and ensure appropriate supervision and volunteers for each event.
  • Liaise with the Social/Event Committee and the Board of Directors to develop a proposed budget and the annual calendar of events to be approved for each year.
  • Create special notices and flyers for events or others.
  • Handle rentals and reservations of the clubhouses.
  • Assist Community Managers with inspections of community amenities.
  • Assist Community Managers in answering phones, answering emails, addressing resident needs, etc.
  • Assist with violations, modification requests, and homeowner correspondence.
  • Maintain clubhouse(s) supply inventory and order as needed.
  • Attend events, annual meetings, and special meetings upon request.
  • Carries out directives of Boards of Directors and Community Manager.
  • Take reasonable safety precautions and maintain desk and office space neatly and professionally.
  • Perform other duties as assigned.
  • Report to the Regional Manager.
  • Work Onsite in clubhouse office Mon-Fri 8:30AM – 5PM

Minimum Education:

H.S. Diploma/Equivalent

Minimum Experience:

2-3 years
