Main Purpose of the role:

In this role, working on a major investor client contract, the Building Safety Administrator will provide essential administrative support to the Statutory Compliance Manager, who serves as the primary point of contact for client applications to the Cladding Safety Scheme ensuring robust documentation suitable for internal and external audit.

You will be responsible for delivering comprehensive administrative support across the client portfolio, ensuring that all active Government Funding applications relating to Building Safety Defect remediation works are accurately tracked, managed, and coordinated.

Additionally, you will maintain precise records for buildings where the client is not the direct applicant, obtaining up-to-date status updates from relevant stakeholders and ensuring information is uploaded to the central database promptly, including managing regular follow-ups to prevent delays or missed updates.

Success in this role will require effective workload management, strong organisational skills, and a consistent focus on maintaining high levels of data accuracy and the ability to identify and escalat risks promptly.

This role reports to the Statutory Compliance Manager.

Main Responsibilities:
  • Ensure all records for the projects are maintained and kept up to date including maintaining a full audit trail of evidence and correspondence
  • Each project will require liaison between internal and external stakeholders to gather information to collate and upload to the application portal on time and proactively chase outstanding information where required
  • Monthly reporting is also required, both internally and for the applications. This must be co-ordinated and provided to the relevant stakeholders in a timely manner
  • Records must also be maintained in relation to projects that the client is not directly responsible for, liaising with the appropriate agents to get regular updates ensuring updates are logged against the correct asset and project workstream
  • Each project will have Government funding that Innovus will be responsible for, invoices will need to be collated, recorded, authorised and passed for payment whilst also updating the relevant portal
  • Accurate Excel trackers will need to be maintained so that ad hoc reports can be generated for each stage of remediation and enable data analysis from the internal data systems
  • Ensure the data held within the customer and asset database, is accurate and update records where applicable
  • Report to the Statutory Compliance Manager regularly areas that need to be escalated such as delays, missing documentation, or emerging compliance risks
  • Regularly review data and highlight areas of potential non-compliance
  • Support continuous improvement of administrative processes, templates, and reporting tools to enhance efficiency and data quality
Experience:
  • Excellent verbal and written communication skills
  • Strong organisational and time-management skills, efficient in maintaining administration and record keeping electronically
  • An ability to proactively manage workload and deal with the conflicting demands of a high-paced and high-pressure environment with clear deadlines
  • IT literacy in Microsoft Office, with proven high level working knowledge of Excel is important
  • An elevated level of accuracy and diligence
  • Experience of inputting data into systems and maintaining high data integrity
  • Ability to analyse basic data and produce appropriate reporting
  • Excellent IT skills, social-media awareness and up to date with new technology and regulations
