Position Summary
The Account Manager reports to and works directly with the Account Executive to execute Fund administration activities for assigned client(s) in accordance with Company guidelines, client needs, and regulatory requirements.

Key Duties And Responsibilities- Provide comprehensive support to the Account Executive (AE) on assigned client accounts, including coordination of account deliverables, regulatory and compliance activities, document and communication management, meeting preparation, vendor coordination, issue resolution, and administrative operations.
- Serves as a primary point of contact for clients and vendors in the AE's absence.
- Collaborate with internal departments to revise or create notices, forms and other documents; implement required programming changes; ensure timely mailings and documentation; implement client directed changes; and resolve issues.
- Coordinate, support, and track the internal implementation of regulatory and legislative changes.
- Partner with the Communications Department to prepare and distribute required participant notices; review and contribute to client specific newsletters, as applicable.
- Assist in resolving escalated participant issues and elevate to the AE when appropriate.
- Support the development, review, updating, and maintenance of account management Standard Operating Procedures (SOPs).
- Assist internal departments, as needed, with the development, review, updating, and maintenance of client specific SOPs.
- Apply root cause analysis to identify issues and determine effective solutions for both the company and clients.
- Proactively identify opportunities for continuous improvement when analyzing internal issues.
- Coordinate the internal onboarding and implementation of new vendors.
- Review appeal documentation prior to client presentation and coordinate Appeals Department.
- Organize and maintain Fund records including Documents Books, Minutes Binders, Invoices, Provider Contracts, and related materials.
- Maintain Compliance Worksheets for all assigned Funds.
- Provide vendor contracts, including internal agreements, to the Accounting Department.
- Review invoices for contract compliance, approve for payment, track paid invoices, and prepare invoice summaries for client meetings.
- Support the Account Executive (AE) with meeting coordination and execution, including but not limited to scheduling, logistics, preparing materials, attending meetings, finalizing minutes, and tracking action items and deadlines.
- Review and proofread Fund financial statements and administrative reports and collaborates with Accounting to resolve discrepancies.
- Assist Account Executive with designing benefit processing forms, enrollment forms and administrative work papers.
- Organize and prepare documentation for audits and regulatory reviews (i.e. Internal Revenue Service and Department of Labor).
- All other duties as assigned.
- Associate's degree in a business-related field.
- Excellent verbal and written communication skills, including interpersonal and presentation skills.
- Ability to communicate effectively with all levels of an organization.

- Exceptional team player with the confidence and integrity to earn the confidence of the client(s) and the internal team quickly.

- Proficient PC skills including Microsoft Word, Excel and Outlook skills. PowerPoint experience preferred. Ability and willingness to travel, as necessary.
- Bachelor's Degree in Business Administration.
- Experience working in client relationship management.
- Professional experience working with Taft-Hartley clients and plan professionals.
- Experience working in a healthcare environment or third-party administrator.
- Working knowledge of Customer Relationship Management software or systems such as Salesforce or Smartsheet.
- Knowledge of third-party administrator operations and Taft Hartley organizations.
