Innovative Treatment Centers (ITC) is seeking a highly organized, professional, and mission-driven Office Manager to oversee daily administrative operations at our Glen Burnie outpatient mental health clinic. This role is essential to ensuring efficient clinic workflow, regulatory compliance, and an exceptional patient experience while supporting our multidisciplinary behavioral health team.
The Office Manager will serve as the operational hub of the clinic—coordinating front office functions, supporting clinical staff, and ensuring adherence to healthcare regulations and organizational policies.
Responsibilities- Operational Management
- Oversee day-to-day office operations to ensure smooth clinical and administrative workflow.
- Supervise front desk processes including scheduling, patient intake, insurance verification, and customer service.
- Maintain efficient patient flow and resolve operational barriers in real time.
- Monitor office productivity, cancellations, and no-show trends; implement improvement strategies.
- Compliance & Documentation
- Ensure adherence to HIPAA, CARF standards, COMAR regulations, and internal policies.
- Maintain accurate administrative records, logs, and operational reports.
- Support implementation of clinic protocols related to controlled substances, PDMP checks, and required documentation workflows.
- Staff Coordination
- Provide guidance and oversight to administrative support staff and virtual assistants.
- Assist with onboarding and training of new administrative personnel.
- Facilitate communication between clinical, administrative, and leadership teams.
- Financial & Administrative Oversight
- Monitor front-end revenue cycle functions including insurance verification, authorizations, and point-of-service collections.
- Collaborate with billing department to address claim or workflow issues affecting reimbursement.
- Track supply inventory and manage vendor relationships.
- Patient Experience & Community Representation
- Promote a welcoming, trauma-informed environment for patients and families.
- Address patient concerns professionally and escalate when appropriate.
- Support outreach and coordination initiatives as the clinic continues to grow.
