The Payroll and Onboarding Specialist is responsible for executing the company’s payroll processes and managing employee onboarding activities, with a primary focus on payroll accuracy, compliance, and efficient new hire setup. This role is hands‑on and detail-oriented, ensuring employees are paid correctly and on time while delivering a smooth and consistent onboarding experience.
This position is primarily focused on payroll processing and onboarding administration rather than strategic HR work.
You can expect to spend your time accomplishing the following:
- 40% of your time on Objective 1:
Payroll Administration & Compliance - 40% of your time on Objective 2:
Onboarding & Employee Setup - 20% of your time on Objective 3: HR Operations Support
- Process semi-monthly payroll, including timekeeping review, audits, and employee deductions.
- Ensure payroll accuracy and compliance with federal, state, and local payroll regulations.
- Maintain payroll‑related accounts, including state and local tax registrations and unemployment accounts.
- Support year‑end payroll activities, including W‑2 preparation and payroll calendar coordination.
- Serve as the primary administrator for ADP payroll functions, including routine updates and employee setup.
- Respond to employee payroll‑related questions, including pay, deductions, and system access.
- Coordinate new hire onboarding processes for W‑2 employees and 1099 contractors, including system setup and required documentation.
- Ensure completion of all onboarding requirements, including I‑9 verification and compliance documentation.
- Set up new hires in ADP and ensure accurate entry of employee data.
- Provide a smooth onboarding experience by communicating clearly with new hires and internal stakeholders.
- Process employee updates, including job changes, compensation updates, and personal information changes.
- Maintain accurate and compliant electronic employee records and files.
- Respond to routine HR‑related inquiries from employees and managers.
- 2–4 years of experience in payroll, onboarding, or HR operations roles.
- Hands‑on experience processing payroll and understanding basic payroll regulations.
- Experience with multi‑state payroll.
- Familiarity with prevailing wage reporting.
- Experience using ADP or similar HRIS/payroll systems.
- Strong attention to detail and ability to manage sensitive and confidential information.
- Strong organizational and time management skills with the ability to manage recurring processes and deadlines.
- Effective communication and problem‑solving skills.
- Experience supporting audits (SOC 2, 401(k), or similar).
- Payroll certification (Payroll.org) a plus.
- Hybrid position with 1 day per week in the office.
- Requires the ability to manage recurring deadlines and prioritize accuracy, particularly during payroll cycles and onboarding periods.
