Renovations Coordinator

Responsibilities
  • Hold regular resident meetings, generate and distribute meeting minutes after each meeting.
  • Collaborate with construction to obtain up‑to‑date schedules and distribute notices to all applicable residents at least 30 days before unit renovation starts.
  • Arrange in‑person meetings with residents 30 days before their projected renovation start date to identify difficulties, special accommodation requests, fragile furniture, etc.; record information on walk sheets and transfer to an Excel spreadsheet for tracking.
  • Set up, maintain, and assign guest suites; order furniture and necessary items, set up phone/cable/internet, utilities in the property’s name, and keep utilities paid and working; maintain suites, clean, change linens, pest control, and inspect for missing or damaged items between stays; record suites usage and maintain a log to avoid double booking.
  • Keep a binder of all resident notices that have been distributed.
  • Coordinate with packing/moving workers to schedule unit moves.
  • Create and maintain missing/damaged item claims from residents and close out each claim.
  • Purchase and distribute food daily to residents while work is performed in their units.
  • Organize daily resident activities in the community rooms for residents whose units are being renovated.
  • Implement procedures for record‑keeping, monitoring, and evaluation of relocation processes through a renovation tracking Excel spreadsheet.
  • Maintain Renovations Coordinator cell phone by answering calls, returning calls, responding to voicemails, keeping the phone charged, and paying monthly bills.
  • Respond to tenant questions, complaints, and concerns within 24 hours regarding relocation, including plans for building rehabilitation and ownership transfer.
  • Work with Investment Manager to create detailed relocation budget and relocation plan framework, tenant information matrix, unit‑by‑unit phasing plan, and relocation phasing plan.
  • Provide relocation assessment and ongoing advisory assistance to minimize hardship during displacement, including reasonable accommodation requests.
  • Identify, survey, and coordinate obtaining off‑site units for temporary relocation as needed; interview affected households to determine relocation needs.
  • Prepare and maintain documents to represent the management company in court in any unlawful detainer action related to relocation.
Requirements
  • Knowledge and ability to perform general maintenance and renovations practices.
  • Self‑motivated with attention to detail and ability to meet firm deadlines.
  • Ability to comply with all company safety processes and procedures.
  • Proficiency in Microsoft Word and Microsoft Excel.
  • Previous experience or professional education in social services and/or counseling.
Compensation & Benefits

Part‑Time Temporary $20.00 to $24.00 per hour
