Position Summary
The Construction Billing & Payroll Specialist is responsible for managing all aspects of the billing and payroll processes for both project-based and service operations. This role ensures accurate, timely billing in accordance with contract terms, along with weekly payroll processing, compliance tracking, and financial reporting.
Billing Responsibilities
* Prepare and submit project billings, including AIA forms (G702/G703), lien waivers, affidavits, and compliance documents.
* Submit invoices through third‑party billing platforms as required.
* Review and verify accuracy of billing data, job cost details, contract terms, and supporting documents.
* Maintain customer billing accounts and ensure accurate contract setup in systems such as Sage Intacct.
* Track project progress billing, retainage, and payment schedules.
* Resolve billing discrepancies with project managers, clients, and accounting teams.
* Maintain digital billing records and third‑party payment portals.
Payroll Responsibilities
* Process weekly payroll for field and office staff, including multi-state and multi-union scenarios (if applicable).
* Validate timesheets, earnings, deductions, reimbursements, direct deposits, PTO, and garnishments.
* Post weekly payroll journal entries and assist with month‑end close and payroll reporting.
* Maintain payroll tax compliance, withholding rates, and respond to tax agency notices.
* Assist with quarterly and year‑end payroll filings including 941s, W‑2s, and certified payroll reporting.
* Support employees with payroll-related inquiries.
Qualifications
* 3+ years of billing, payroll, AP/AR, or construction accounting experience.
* Strong understanding of construction billing practices, job costing, and financial documentation.
* High level of accuracy, attention to detail, and ability to meet tight deadlines.
* Proficiency with Microsoft Office Suite (Excel, Outlook, Word).
* Experience with ADP and Sage Intacct preferred.
* Knowledge of prevailing wage/certified payroll, and multi‑state payroll preferred.
Education
* Bachelor's degree in Accounting, Business, Finance, or related field preferred.
* Equivalent experience considered in lieu of degree.
