We are seeking a highly organized, proactive, and polished Personal Executive Assistant to provide high‑level administrative and operational support to our leadership team. This role is ideal for someone who thrives in a fast‑paced, dynamic environment, excels at managing multiple high‑priority initiatives simultaneously, and takes pride in keeping executives focused, prepared, and operating efficiently.
As the Personal Executive Assistant, you will act as a trusted partner to senior leadership—anticipating needs, managing competing priorities, safeguarding confidential information, and ensuring the smooth day‑to‑day flow of executive and company operations.
This position is required to be onsite in the Glendale Heights, IL area.
Key Functions- Serve as a primary administrative partner to the CEO, ensuring their day, schedule, and priorities are managed efficiently and proactively.
- Manage complex executive calendars, schedule meetings, coordinate last‑minute changes, and ensure alignment with business priorities.
- Screen, prioritize, and manage incoming communications (email, phone calls), responding or redirecting items with discretion and urgency.
- Draft, proofread, and distribute executive‑level correspondence, presentations, reports, and other documents on behalf of leadership.
- Maintain highly organized electronic and physical filing systems to support easy access to critical information.
- Act as a liaison between executives, internal departments, and external partners to ensure clear communication and follow‑through.
- Handle sensitive, confidential, and time‑critical information with the highest level of professionalism, discretion, and integrity.
- Identify opportunities to streamline administrative processes and improve organizational efficiency.
- Arrange and manage domestic and/or international travel accommodations, itineraries, and expense‑related documentation.
- Coordinate and prepare for meetings, conferences, and events, including agenda creation, logistics, materials, and follow‑up actions.
- Proven experience as a Personal or Executive Assistant supporting senior leadership, preferably in a fast‑growing or dynamic organization.
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- 3+ years of experience supporting a CEO or Senior Executive.
- Excellent time management skills and the ability to anticipate needs before they arise.
- Strong written and verbal communication skills with a polished, executive‑level presence.
- Exceptional organizational skills with strong attention to detail and accuracy.
- Ability to multitask, prioritize, and remain composed in a rapidly changing, high‑pressure environment.
- Bachelor’s degree or equivalent professional experience strongly preferred.
