We are seeking a detail-oriented and proactive HR Coordinator/Generalist to serve as a key member of the Human Resources team. This role blends administrative coordination with generalist HR responsibilities, requiring strong organizational skills, confidentiality, and the ability to manage multiple priorities. The ideal candidate is highly organized, has strong to advanced computer and AI skills, excels in recruiting, communicates effectively, and works independently while supporting strategic and operational HR initiatives.
Key Responsibilities- Support recruiting efforts by creating job descriptions, sourcing and screening resumes, conducting initial phone or onsite interviews, and coordinating interviews with HR leadership and department managers.
- Arrange facility tours and maintain clear communication with department leadership throughout the hiring process.
- Use AI tools to improve efficiency and enhance processes.
- Participate in job fairs and recruiting events as needed.
- Prepare comprehensive new hire packets and ensure all required documents are ready for orientation.
- Translate policies into Spanish and maintain updated versions of all documents.
- Identify when policy changes affect other procedures and update materials accordingly.
- Send calendar invitations for orientation and maintain the HR Events Calendar.
- Serve as the primary contact for temporary staffing agencies, maintaining daily updates to temp employee lists and monitoring hours.
- Maintain organization through spreadsheets and tables.
- Escalate issues to HR leadership as needed to ensure smooth operations.
- Track and coordinate benefits enrollment for new hires and act as the first point of contact for employee benefits questions.
- Support open enrollment periods and ensure benefits materials are included in onboarding.
- Maintain digital records and stay informed about benefit offerings.
- Stay current on new employment laws and regulations, organizing compliance documentation.
- Prepare and distribute required annual postings under the direction of HR leadership.
- Schedule and coordinate training sessions including harassment prevention, code of conduct, and compliance programs.
- Maintain accurate training records and ensure employee files are current.
- Organize and maintain digital documents.
- Keep departmental and positional documentation updated and well-structured.
- Coordinate performance review timelines, birthday celebrations, and employee communication materials using Canva.
- Support employee appreciation programs and engagement activities.
- Support HR meetings and town halls by creating presentations and managing calendar invitations.
- Maintain the HR Events Calendar and ensure department-wide visibility of key HR activities.
- Demonstrate proficiency and growth with Google Workspace or Microsoft Office.
- Provide administrative and coordination support for HR projects, tracking progress and ensuring timely completion.
- Maintain oversight of HR duties, deadlines, and follow-ups.
- Ensure timely closeout of action items and keep HR leadership informed of approaching deadlines.
- Perform other duties as assigned.
- Associate or Bachelor's degree in Business, Psychology, Human Resources, or a related field preferred.
- Advanced computer skills (Google Workspace or Microsoft Office).
- Experience with AI tools (e.g., Gemini, OpenAI) to enhance efficiency.
- 2–4 years of HR coordination or generalist experience with full-cycle recruiting, HR documentation organization, and onboarding.
- Strong organizational skills and attention to detail.
- Proficiency with HRIS (Paylocity preferred).
- Excellent interpersonal and communication skills.
- Ability to work efficiently in fast-paced environments.
- Handle confidential information with discretion.
- Strong time management and ability to prioritize multiple tasks.
- Self-starter capable of working independently.
- Full-time position.
- Must manage competing priorities while maintaining accuracy and professionalism.
- Must not be sensitive to strong aromas (e.g., spices).
Compensation: $35–$40 per hour, depending on experience and qualifications.
