Key Responsibilities

  • Provide general administrative support to operations and office staff, including scheduling, filing, document preparation, and organizing paperwork for various projects and activities.
  • Assists with the invoicing process by preparing, submitting, and tracking client invoices to ensure prompt payment and resolution of any billing discrepancies.
  • Submit and track expense reports for both general operations and maintenance‑related expenses, ensuring proper documentation and timely reimbursement.
  • Assist with data entry and maintain accurate records of operational activities, ensuring timely updates and distribution of reports across multiple departments.
  • Develop and maintain organizational systems for tracking various operational processes, including asset management and resource allocation.
  • Update asset locations from information received from Operations, create weekly asset reports for different departments, and distribute reports.
  • Support office coordination by managing supplies, monitoring inventory levels, and assisting with vendor communication as needed.
  • Organize and maintain standard operating procedures and electronic records to ensure accessibility, accuracy, and compliance.
  • Collaborate with internal teams to improve workflow efficiency and identify opportunities for process improvement.
  • Serve as a point of contact for administrative inquiries and assist with general office communication and coordination.
  • Perform other duties and tasks as required.
Minimum Qualifications
  • HS Diploma
  • 2-3 years of applicable administrative or clerical experience
  • Proficiency with Microsoft Suite and other computer‑based skills
  • Strong attention to detail and organizational skills
  • Ability to manage multiple tasks and prioritize effectively in a fast‑paced environment
  • Strong communication skills – both verbal and written
  • Experience with Oracle preferred
