Job Summary:The High School Office Manager oversees the daily operations of the front office, providing high-level administrative support to school leadership and ensuring efficient coordination of office functions. This position supervises front office staff and serves as a key liaison between the school, district departments, students, parents, and the community.
Essential Duties and Responsibilities:- Manage and supervise front office staff, including selection, training, scheduling, performance evaluation, and delegation of tasks.
- Coordinate and oversee daily office operations, ensuring timely and accurate completion of administrative tasks.
- Serve as the primary point of contact for internal and external communications, including handling inquiries from parents, students, staff, and community members.
- Schedule and coordinate meetings, interviews, workshops, and school events; prepare agendas and materials as needed.
- Maintain confidential personnel records, process payroll actions, and monitor attendance and timekeeping systems.
- Oversee procurement and inventory of office supplies and equipment; manage requisitions and purchase orders.
- Prepare and manage reports related to budgets, expenditures, staffing, and school operations.
- Ensure compliance with district policies and applicable federal, state, and local regulations.
- Support school leadership with special projects, data analysis, and strategic planning initiatives.
- Perform other duties as assigned.
- Proficiency in district systems such as Tyler school ERP, and AESOP.
- Strong leadership and supervisory skills are important.
- Excellent organizational, communication, and interpersonal skills.
- Ability to manage multiple priorities and meet deadlines.
- Knowledge of office management practices, fiscal accounting, and customer service principles.
- Knowledge of school district procurement and purchasing procedures.
- Skilled in using Microsoft Office Suite and other relevant software applications.
- High School Diploma or GED required; associate or bachelor's degree preferred.
- Minimum of three (3) years of administrative experience in a professional office setting, including supervisory responsibilities.
- An equivalent combination of education and experience may be considered.
- Must be able to type a minimum of 55 wpm.
- Must be able to obtain and maintain an IVP Fingerprint Clearance card and pass a background clearance check.
- May be required to work outside normal working hours.
- Valid Arizona driver's license may be required.
- Ability to lift and carry up to 20 pounds.
