POSITION SCOPE

The Field Engineer Administrative Assistant provides administrative and project coordination support to Field Engineers, Project Managers, and construction operations teams. This position is responsible for coordinating meetings, maintaining project documentation, tracking action items, processing subcontractor payment packages, reviewing timecards, coordinating travel arrangements, and supporting daily project activities. The successful candidate will be highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced construction environment.

PRIMARY

DUTIES
  • Coordinate and schedule project meetings, conference calls, and team events
  • Create meeting agendas and distribute meeting materials to participants
  • Attend meetings and prepare accurate meeting minutes
  • Distribute meeting minutes and maintain meeting records
  • Track project action items and follow up with responsible parties to ensure completion
  • Assemble subcontractor payment packages and supporting documentation for approval
  • Review employee timecards for accuracy, completeness, and compliance with project requirements
  • Coordinate travel arrangements including flights, hotels, rental vehicles, and travel itineraries
  • Maintain project files, reports, logs, and documentation in accordance with company standards
  • Assist with project reporting, document control, and daily administrative functions
  • Support field engineers and project management staff with day-to-day project activities
  • Prepare and distribute project correspondence and reports
  • Monitor project deadlines and assist with maintaining project schedules
  • Assist with data entry, tracking, and recordkeeping activities
  • Maintain confidentiality of company, employee, and project information
  • Perform other duties as assigned
REQUIREMENTS
  • High school diploma or GED required
  • Associate degree in Business Administration, Construction Management, Engineering Technology, or related field preferred
  • Two (2) years of administrative, project coordination, or construction support experience preferred
  • Previous experience in construction, engineering, or heavy civil industry environments preferred
  • Proficient in Microsoft Office Suite including Outlook, Word, Excel, Teams, and Power Point
  • Strong organizational, time management, and multitasking skills
  • Excellent verbal and written communication skills
  • Ability to prioritize workload and meet deadlines in a fast-paced environment
  • Strong attention to detail and accuracy
  • Ability to work independently and as part of a team
  • Must be at least 18 years old
  • Valid Driver's License and acceptable driving record preferred
  • Ability to pass a pre-employment drug test
  • Ability to maintain professional relationships with employees, subcontractors, vendors, and clients
  • Ability to adapt to changing priorities and project requirements
  • Basic knowledge of construction administration practices preferred
