The Patient Services Specialist is responsible for providing excellent customer service to patients while managing front desk operations. This role ensures a smooth patient experience by greeting patients, managing appointments, processing patient information, handling insurance verification, collecting payments, and assisting with day‑to‑day administrative duties.
RESPONSIBILITIES
- Greet patients with a warm, welcoming smile and assist with the check-in process upon arrival.
- Verify and update patient demographics, including personal information, contact details, and insurance coverage. This includes scanning all pertinent documents into the EMR for billing purposes.
- Ensure all necessary forms are completed by patients, including new patient registration form, consent to treat form, financial policy, Patient’s Rights, HIPAA forms, and insurance verifications.
- Schedule, confirm, and reschedule patient appointments as necessary, ensuring efficient use of provider time.
- Answer phone calls in a professional and courteous manner, directing inquiries to appropriate staff members.
- Verify insurance eligibility through electronic systems and notify patients of co‑pays or outstanding balances.
- Process patient payments, including co‑pays, deductibles, and outstanding balances, ensure accurate logging of payments and end‑of‑day reporting.
- Assist patient billing inquiries and help with resolving any billing issues.
- Assist with organizing patient flow, ensuring that patients are checked in and out of the clinic in a timely and efficient manner.
- Maintain the front desk area, ensuring it is organized and well-stocked with necessary materials and supplies.
- Provide general administrative support, including filing faxes, scanning, and data entry in the electronic medical record (EMR) system.
- Ensure all patient records and documents are appropriately scanned and uploaded to the EMR system.
- Manage and distribute patient messages, including prescription requests, appointment reminders, and other inquiries.
- Maintain confidentiality of patient information in compliance with HIPAA and other regulatory standards.
- Assist in maintaining a clean and welcoming clinic environment.
REQUIREMENTS
- Education:
High school diploma or equivalent - Experience:
1-2 years of experience in healthcare administration, customer service, medical receptionist or appointment scheduling. - Communication
Skills:
Strong verbal and written communication skills with a focus on customer service and a friendly demeanor. - Organizational
Skills:
Excellent time‑management skills and the ability to manage multiple tasks simultaneously. - Technical
Skills:
Proficient in Microsoft Office Suite; experience with scheduling software eClinical preferred.

- Starts at $18 to $21 per hour, DOE
