International Shipping Coordinator

Position Summary

The International Shipping Coordinator serves as the primary operational liaison between the US Exports Team and the Air Life Phoenix Distribution Center. This position coordinates all international order fulfillment activities, export documentation, freight logistics, and cross‑functional communication to ensure compliant, on‑time delivery of Air Life products to global customers and distribution partners.

• Act as the primary operational liaison between the US Exports Customer Service and the Phoenix Distribution Center.
• Coordinate pick‑up schedules, shipment consolidations, and freight priorities with approved freight forwarders, air and ocean carriers, and the DC warehouse team.
• Consolidate and distribute complete export documentation packages—commercial invoices, packing lists, certificates of origin, shipper's letters of instruction, and regulatory certificates—to forwarders and distributors prior to each cargo release.
• Solicit and compare freight quotes from approved carriers, present cost and transit options to the US Exports Customer Service Team, and execute the selected routing within required booking windows.
• Maintain and distribute daily, weekly, and monthly shipment status reports, maintain accurate export activity logs, and contribute to KPI tracking for on‑time delivery, documentation accuracy, and freight cost performance.
• Support export compliance by screening shipments against denied‑party lists, verifying EAR and ECCN classifications, confirming heat‑treated pallet requirements per ISPM‑15, and escalating quality or regulatory holds per the Phoenix DC Quality Management System.

• Knowledge of international shipping terminology, Incoterms 2020, and export documentation requirements.
• Knowledge of U.S. export regulations including EAR, ECCN classifications, HS codes, and denied‑party screening requirements applicable to medical device distribution.
• Working knowledge of ERP and order management systems such as Sales Pad, SAP, Korber, or equivalent platforms.
• Proficient in Microsoft Office Suite—Excel, Outlook, Word, and Teams—at an intermediate to advanced level.
• Knowledge of air and ocean freight operations including carrier coordination, freight quoting, consolidation, and shipment tracking.
• Demonstrated ability to prepare, review, and distribute accurate export documentation with high attention to detail in a high‑volume environment.
• Strong written & verbal communication skills; professional interaction with international distributors, freight forwarders, customs brokers, and internal teams.
• Ability to manage multiple open shipments, competing deadlines, and cross‑functional priorities simultaneously without loss of accuracy or quality.
• Ability to identify and elevate order exceptions, supply shortages, and documentation discrepancies to the U.S. Export team within defined timelines.
• Bilingual proficiency in English and Spanish preferred.

• Minimum two years of direct experience in international shipping, freight coordination, or export operations within a distribution, manufacturing, or supply chain environment.
• Preferred: an additional year of experience in a customer service role supporting international accounts in a regulated industry such as medical devices, healthcare, or pharmaceuticals.

• High School Diploma or GED required.
• Associate’s degree in business, international trade, logistics, supply chain management, or a related field preferred. Combination of equivalent work experience and education considered in lieu of a degree.
