The Department of Anesthesiology provides state-of-the-art care supporting USC surgical, pain and critical care patients. Behind the success of the Department's clinical service is a unique and highly talented administrative team.
USC Department of Anesthesiology is seeking an Office Assistant. Working directly under the supervision of the Office Manager, the Office Assistant is responsible for supporting daily administrative operations and front desk activities. Key duties include greeting visitors, managing the department's main phone line, processing reimbursements for faculty, trainees, and staff, handling accounts payable transactions, and assisting faculty with various ad hoc administrative requests.
The successful candidate will be motivated, pro‑active, resourceful, and detail‑oriented. The position requires excellent organizational and communication skills with the ability to be decisive and adaptable. Candidates should have experience with performing administrative duties, demonstrate professional etiquette in both verbal and written communications, and possess proficiency in Microsoft Word, Excel, and Outlook.
Essential job duties include, but are not limited to:- Assist the Department's faculty and staff in providing general administrative support;
- Create and process purchase orders, invoices, internal requisitions, and reimbursements;
- Provide general front office support: greeting guests, answering Department main phone line, receiving and disbursing incoming and outgoing mail and faxes;
- Process clinical access forms for onboarding faculty;
- Assist with Medical Student didactics;
- Facilitate ordering services and supplies;
- Manage faculty parking and badge access; and
- Support other special projects as needed.
- High School Degree or equivalent
- Minimum 1 year administrative office experience
- 2 years of administrative experience;
- Bachelor's Degree
- Experience in a complex medical setting encouraged;
- Excellent communication skills - both written and verbal;
- Demonstrated affinity for diplomacy and the ability to cultivate and maintain relationships at all levels;
- Practices a high level of integrity and honesty in maintaining confidentiality;
- Ability to multi-task effectively and demonstrate strong organizational skills;
- Sound judgment and decision making;
- A cooperative and team-oriented attitude;
- Effective facilitator in various settings.
Follows established USC and department policies, procedures, objectives, performance improvement, attendance, safety, environmental, and infection control guidelines, including adherence to the workplace Code of Conduct and Compliance Plan.
This position is 100% on-site and employee must report to work at the USC Health Science Campus in Los Angeles, CA. Work hours may be subject to change depending on business needs.
The hourly rate range for this position is$21.00 - $24.00
