The Intake Specialist supports the firm’s client intake and onboarding operations by serving as a primary point of contact for veterans seeking legal assistance. This role is responsible for conducting intake evaluations, managing client communications, gathering documentation, and ensuring accurate case entry and data integrity. Reporting to the Intake Manager, this position plays a critical role in creating positive client experience while maintaining operational efficiency, accuracy, and professionalism.
The ideal candidate is empathetic, highly organized, reliable, and capable of managing high-volume client interactions while maintaining exceptional service standards.
Duties- Serve as primary point of contact for veterans seeking assistance with VA disability claims
- Respond promptly to client inquiries via phone, email and other communication channels
- Conduct intake evaluations and manage high volumes of inbound and outbound calls
- Assist clients in completing required paperwork and gathering supporting documentation
- Educate clients on the intake process and next steps in the claims process
- Accurately enter and maintain client information and case details in the CRM system
- Maintain organized and complete client records and documentation
- Conduct follow-up communications to ensure client understanding and satisfaction
- Identify and escalate complex or sensitive issues to appropriate leadership
- Collaborate with attorneys, agents and internal teams to ensure seamless client service
- Support the Intake Manager with special projects and operational needs
- Perform additional duties as assigned
- 1–2 years of experience in client intake, customer service, call center, or client support roles (legal, medical, or benefits environment preferred)
- Strong attention to detail and organized skills
- Excellent verbal and written communication skills
- Ability to manage high call volume and multitask in a fast-paced environment
- Proficiency in Microsoft Office (Outlook, Word, Excel) and CRM systems
- Ability to de‑escalate challenging or emotional client situations
- Customer service–focused approach with strong professionalism
- Ability to work independently and as part of a team
- Familiarity with the VA disability claims process is a plus
