Job Title: Intake Coordinator
Employment Type: Temp‑to‑Hire
Location: Glendale / Denver, CO (100% In‑Office)
Hours: Full‑Time, Monday-Friday, 8:30 AM - 5:00 PM (30‑minute unpaid lunch)
Pay Rate: $21.00 - $24.00 per hour

Position Overview

Ultimate Staffing is partnering with a client in the Glendale/Denver area to identify an experienced Intake Coordinator to support a growing home healthcare organization. This is a high‑impact, front‑line role that serves as a key point of contact during the admissions and intake process, ensuring accuracy, regulatory compliance, and compassionate support for patients and families during critical moments.

The ideal candidate will have a minimum of 2-3 years of intake or admissions experience, with a preference for candidates coming from home healthcare environments rather than hospital settings.

Key Responsibilities
  • Accept and manage all inquiry calls related to skilled home health services, determining intake appropriateness in coordination with nursing and authorization teams
  • Identify available staffing resources prior to accepting referrals
  • Verify payer eligibility and reimbursement approval, including running Medicare and Medicaid eligibility on all referrals
  • Ensure proper staffing by reviewing service orders and authorized care plans
  • Partner closely with RN Coordinators to identify potential admission issues and review diagnoses, intake documentation, and physician orders
  • Accurately input demographics and verify client address, contact information, and physical location at time of admission
  • Communicate intake and admission details clearly with internal teams, caregivers, clients, and families
  • Participate in clinical rounds and provide intake‑related updates to the care team
  • Stay current on payer contracts, updates, and authorization requirements
  • Maintain accurate records of admissions, start‑of‑care timelines, staffing assignments, and follow‑up documentation
  • Track and document referrals that are not admitted for reporting and planning purposes
  • Collaborate with marketing and business development teams to identify referral trends and address referral challenges
  • Notify caregivers of orders to resume services following hospitalization
  • Provide general clerical and administrative support to RN Care Coordinators as needed
  • Maintain strict confidentiality and comply with all HIPAA regulations
  • Perform additional duties as assigned, including light community development and marketing support
Minimum Qualifications
  • High School Diploma or GED required
  • Completion of a Medical Assistant program or prior medical administrative experience preferred
  • 2-3 years of experience in intake, admissions, or staffing with progressive responsibility
  • Strong computer proficiency and ability to learn healthcare systems and applications
  • High degree of accuracy, attention to detail, and confidentiality
  • Excellent data entry skills
  • Strong analytical, problem‑solving, and decision‑making abilities
  • Effective verbal, written, and listening communication skills
  • Strong organizational, time management, and stress management skills

    Ability to work with a sense of urgency and meet deadlines
  • Ability to work independently while also collaborating effectively as part of a team
