Position: Administrative Clerk III (part-time)

Position Summary

Performs a variety of complex and responsible clerical, record‑keeping, profiling, and reporting support. Assignments are usually senior role at the department level, or equivalent specialized department or educational program.

Salary Range

$2,056.60 – $2,756.04 per month / $24.21 – $32.45 per hour

Minimum Qualifications
  • High school diploma or equivalent and three years of clerical experience.
Preferred Qualifications
  • Two years of clerical experience in an institution of higher learning.
  • Experience using Banner or similar ERP system.
  • Experience working in a K‑12, community college, or university environment.
  • Demonstrated organizational, record‑keeping, and time‑management skills.
  • Demonstrated verbal and written communication skills.
  • Proficiency in Microsoft Office, Smart Sheet, and Adobe Creative Cloud.
  • Experience supporting academic programs, student services, counseling offices, admissions, records, or similar environments.
  • Experience using a learning management system such as Canvas.
  • Sensitivity to and ability to work with a diverse student, faculty, and staff population, fostering an inclusive environment.
Essential Duties and Responsibilities
  • Compose and type letters, memoranda, reports, work orders, requisitions, and program materials from drafts or verbal instructions.
  • Process documents requiring knowledge of department terminology, policies, and procedures; monitor budgets and contractual provisions.
  • Perform analytical duties such as evaluating student profiles for specific programs (e.g., limited English proficient) by pre‑screening registration materials, language assessment scores, and other materials.
  • Compile statistical data, post financial transactions, maintain records in department information systems, and search departmental records and files.
  • Maintain financial records for a small fund or program; handle deposits, expenditures, inventory, accounts receivable, donation requests, and periodic financial reports.
  • Schedule, coordinate, and administer tests; score tests, maintain records of scores, enter and post results.
  • Coordinate high‑volume customer‑service workflow; serve as resource for other clerks, balance workload, and resolve discrepancies.
  • Greets visitors, staff, or students; ascertain nature of business and provide standard information.
  • Provide special assistance to students, including those with special needs; introduce students to other services and college support.
  • Maintain records and files for ready access; compile reports per operating procedures.
  • Ensure timely distribution and receipt of records and reports; request or provide information to ensure accuracy.
  • Review and prepare documents for entry into electronic data processing system; follow up to complete documents; enter and update information; extract and convert data from databases.
  • Participate in basic registration activities such as community education, child development, or emeritus courses.
  • Maintain confidentiality of information processed.
  • Assist and coordinate programs, workshops, meetings among staff, administrators, or the public.
  • Receive, sort, and distribute incoming mail.
  • Participate in selecting, training, and assigning work to regular staff and part‑time/student/temporary workers.
  • Perform other duties as assigned that support overall objective of the position.
Knowledge, Skills, and Abilities
  • In‑depth knowledge of practices and techniques used in assigned organization unit.
  • Working knowledge of office practices, procedures, equipment, filing systems, receptionist and telephone techniques, letter and report writing.
  • Knowledge of accounting, budgeting, purchasing, payroll transaction processing, and statistical record keeping.
  • Knowledge of PC‑based software: word processing, spreadsheets, presentation graphics, specialized database software used in education.
  • Business mathematics skills to compute sums and statistics.
  • English language skills, grammar, spelling, punctuation, editing, proofreading for original correspondence.
  • Human relations skills to orient, train, and communicate with a diverse population.
