Responsibilities
- Manage, train, and mentor the Receptionist and Mailroom Clerk.
- Delegate tasks to optimize workflow and efficiency.
- Monitor performance and provide backup support.
- Oversee daily office operations for the Central Division Business Support Center.
- Manage vendor relationships for maintenance, equipment, and catering.
- Purchase supplies and equipment within budget.
- Handle room scheduling, filing, and record management.
- Provide administrative support to the Division President, CFO, and VPHR, including reports and project coordination.
- Lead emergency preparedness, OSHA compliance, and first aid logs.
- Chair the Events Committee and manage activity budgets.
- Conduct new hire orientations regarding site procedures.
- B.A. or B.S. degree (or Associate’s degree with relevant experience).
- 3+ years of proven office management experience supporting a large-scale office environment.
- 1–2 years of direct supervisory experience.
- Strong client‑service mindset with a collaborative, non‑adversarial approach.
- Exceptional organizational skills and high motivation to meet deadlines and exceed goals.
- Ability to build and maintain effective working relationships with diverse stakeholders.
- Strong communication skills (verbal and written) and judgment to handle frequent interruptions.
- Commitment to confidentiality regarding sensitive financial and company issues.
- Ability to foster an environment of teamwork, positive energy, and operational efficiency.
- Proficiency in spreadsheets and presentations.
- Previous training experience.
- Degree in Business Administration.
