Program Assistant I

The School of Minerals and Subsurface Energy at Colorado School of Mines is seeking a highly organized, service-oriented, and collaborative Program Assistant I to join our team. This position plays a vital role in supporting the daily operations of one of the university's academic schools, serving as a key resource for faculty, staff, students, and external stakeholders.

The successful candidate will support a broad range of administrative, financial, communications, and student services functions while helping advance the school's educational and research mission.

About the Role

The Program Assistant I provides comprehensive administrative and financial support for the School of Minerals and Subsurface Energy. This role serves as a central point of coordination for school operations, student support services, communications, and program administration.

Key responsibilities include:

  • Administrative and Operational Support
    • Provide day-to-day office and administrative support for school leadership, faculty, staff, and programs.
    • Assist with scheduling, correspondence, document preparation, reporting, and special projects.
    • Coordinate conference room, office, laboratory, and building access.
    • Support school events, seminars, and short-course programs.
    • Supervise and coordinate student employees as assigned.
  • Financial Administration
    • Reallocate procurement card transactions and reconcile expenditures.
    • Process budget transfers, journal entries, and other financial transactions.
    • Track expenditures and assist with budget-related administrative activities.
    • Partner with university administrative offices to ensure accurate financial processing.
  • Student and Program Support
    • Serve as a resource for undergraduate and graduate students by responding to inquiries and supporting academic program operations.
    • Assist with administrative activities related to student services and special programs.
    • Support program directors and school leadership with a variety of academic and administrative needs.
  • Communications and Outreach
    • Manage and maintain school website content.
    • Update marketing and promotional materials.
    • Assist with newsletter development, writing, and editing.
    • Support the school's social media presence and public relations efforts.
    • Contribute to fundraising and stakeholder engagement activities.
  • Human Resources Support
    • Manage administrative aspects of hiring processes and HR-related forms.
    • Coordinate onboarding and other employment-related administrative activities.
