Purpose of Position

To provide a variety of responsible administrative services and technical functions in support of a school site administrative team.

Reporting

Reports to an Assistant Principal, Dean, Academy or Athletic Director, Counselor, or other administrator.

Employment Status

Full-time (FLSA Non-exempt)

Essential Functions
  • Provide technical support and task completion in areas such as registration, enrollment, master scheduling, attendance, truancy, and student discipline.
  • Greet and assist visitors to the school or office including parents, students, faculty, staff or administrators; maintain positive relationships with the public; provide information or direction as needed.
  • Schedule conferences with students, parents, specialists and teachers as required; arrange transportation for field trips and athletic events.
  • Monitor students in the office, lunch area or hallways; refer students to an administrator and contact parents/guardians as necessary.
  • Enter, retrieve or query student data in a proprietary student information system such as Aeries; maintain and request student records as directed; assist with preparation of registration materials.
  • Maintain inventory and chain-of-custody records for keys and other District equipment.
  • Answer telephone calls and general email inquiries; schedule appointments and explain District or school policies and procedures.
  • Process documents and certifications for co-curricular or ASB programs and events; compile, verify and submit payroll information for co-curricular stipends and ASB programs and events.
  • Enter and coordinate requests for maintenance and repair of facilities and equipment.
  • Coordinate Civic Use of school facilities.
  • Requisition supplies and equipment as needed.
  • Generate reports, records or other data for accuracy, completeness or compliance with established standards.
  • Prepare various forms and applications; maintain confidentiality of information.
  • Compose correspondence, memoranda, schedules and lists from straight copy, rough drafts or oral instructions.
  • Operate a variety of contemporary office equipment.

  • Perform related duties as assigned.

Working Conditions & Physical Demands

Inside work with no exposure to weather conditions.

Office environment with multiple interruptions.

Hearing and speaking to exchange information in person or on the telephone; seeing to read a variety of documents; dexterity of hands and fingers to operate office equipment; sitting for extended periods of time; bending, stooping or kneeling; reaching above the shoulders or overhead to retrieve or store materials; lifting up to 20 pounds.

  • Ability to use correct English language usage, grammar, spelling, and punctuation.
  • Ability to collaborate with others on assigned projects or initiatives.
  • Ability to work independently with limited supervision.
Education, Training and Experience

Any combination equivalent to graduation from high school and three (3) years of increasingly responsible administrative experience requiring extensive public contact, preferably in a K12 public school environment.

Additional Requirements
  • Successful passage of written or performance assessment.
  • Bilingual ability in Spanish is highly desirable.
  • This position is eligible for Language Services premium pay.
