Under general supervision of the Director of Tourism, this position serves as a primary point of contact for visitors, newcomers, tour groups, and tourism partners while providing essential administrative and operational support to the department. This position is focused on office coordination, visitor services, marketing and tourism support, and public-facing assistance. Duties include regular interaction with the public, community partners, and tour operators.

Responsibilities
  • Greet visitors, answer questions, provide information about the destination, including attractions, events, amenities, and hours of operation
  • Serve as the primary point of contact for visitor inquiries in person, by phone, and via email
  • Provide administrative support to the Director and department, including correspondence, document preparation, data entry, and record keeping
  • Maintain organized digital and physical filing systems; assist with document management using Microsoft Office products and Share Point
  • Maintain an ample supply of brochures, maps, and other informational materials for distribution
  • Ensure the visitor center is clean, welcoming, and presentable at all times
  • Use Civic Rec as the Point of sale (POS) system for registration, admissions, and gift shop transactions
  • Track, compile, and report visitor statistics, inquiries and basic performance data using spreadsheets and reports
  • Manage various aspects of the gift shop’s daily operations, including purchasing, merchandising, inventory control, and reporting
  • Develop and implement strategies to increase sales and profitability
  • Handle cash, process payments, and perform daily reconciliation and financial reporting
  • Establish and maintain relationships with vendors, including pricing, ordering, and inventory coordination
  • Maintain stock levels, organize and update merchandise displays, and ensure accurate pricing
  • Perform periodic inventory counts
  • Assist with content management of trip planning app, website updates, and social media accounts
  • Assist in coordinating special events, group tours, meetings, and programs, including logistical and administrative support
Qualifications
  • Proven experience in an administrative, retail, customer service, or public-facing role
  • Strong proficiency with Microsoft Office products, including Word, Excel, and Outlook, experience with SharePoint is preferred
  • Ability to quickly learn new software systems, tools, and processes used by the City
  • Strong organizational skills with attention to detail and accuracy in administrative and financial tasks
  • Creative problem-solving skills and the ability to contribute ideas for improving operations, visitor services, and marketing efforts
  • Excellent interpersonal and communication skills, both written and verbal
  • Ability to manage multiple projects and tasks simultaneously with varying deadlines
  • Knowledge of and ability to operate standard office equipment and computer systems
  • Ability to follow oral and written instructions and work independently with minimal supervision
  • Ability to establish and maintain effective working relationships with co-workers, other departments, city officials, vendors, and the general public
  • Flexible, energetic, and outgoing personality with a willingness to support a team environment

Schedule
  • Must be able to work a flexible schedule, generally Monday-Friday between 7:30am-4:00pm, with infrequent evenings or Saturdays for events
