Duties & Responsibilities- Analyzes and calculates monthly rent and percentage rent based on lease provisions for assigned locations. Updates the lease terms database (LX; Lucernex) to ensure payments post to the correct accounts. Makes accrual/payable adjustments as needed. Discusses recurring problems with the manager to increase efficiency in the network. Evaluates new store openings including relocations and expansions. Initiates and manages the liquidated damages process from form creation (in MP) to collection of monies due.
- Performs desktop audit of pass-through expenses (Real Estate Taxes, Utilities, Common Area Maintenance, Repairs and Improvements including capital improvements, Security Systems, Salaries, Advertising/Signage, Insurance) and ensures prompt and accurate payment via LX. Researches and obtains documents to determine compliance with laws, lease terms, or internal standards. Communicates with Landlords, Lease Renewals, Rent Payables, Lease Compliance and Legal departments to resolve audit findings and secure financial recoveries.
- Administers variable payments in LX for bi-weekly payments and updates vendor-change data as provided by the vendor administrator. Researches rent statements and resolves outstanding balances.
- Provides backup support for Sr. Manager and/or Manager of Audit & Rent Administration as assigned. Prepares audit notification letters and maintains an audit-tracking database within LX.
- Assists in designing and developing comprehensive real estate audit procedures for identifying locations for in-depth audits. Maintains ongoing communication and relationships with Landlords and their representatives.
