JOB DESCRIPTION

Title: Administrative Assistant I FTE: 1.0

Compensation: Classified Non Exempt Compensation Guide (Starting at $19.80/hour)

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Helps process all discipline referrals, correspondence and other needed documents.
  • Assists with purchase order requests.
  • Receives visitors, answers and screens telephone calls and provides information as appropriate, and explains general school policies and procedures in a pleasant and welcoming manner.
  • Handles a variety of correspondence, reports, and other materials for the Assistant Principal's office pertaining to parents, students, and staff.
  • Maintains confidentiality of information.
  • Maintains appropriate files as required.
  • Assists with maintenance of Assistant Principal's calendar and assists in scheduling appointments and meetings.
  • Manages internal coverage for teachers and coordinates substitute coverage.
  • Welcomes and guides Substitute Teachers for coverage.
  • Performs a variety of clerical duties in providing assistance for administrators, staff members, teachers, and students.
  • Assists students as directed with medication when nurse is out of office.
  • Orders necessary supplies.
  • Prepares a variety of fiscal and statistical reports as requested.
  • Maintains and distributes teaching supplies to teachers and staff, as needed.
  • Assists with data collection, organization and presentation.
  • Prepares a variety of statistical discipline reports as needed.
  • Processes and mails suspension letters.
  • Prepares materials and documents necessary for attendance and suspension hearings.
  • Relieves and assists in other office areas as needed.
  • Makes general public address announcements as needed.
  • Maintain confidentiality of information regarding students, staff, parents and school issues.
  • Provide a welcoming atmosphere for students, staff, parents and community.
  • Perform responsibilities in an ethical and professional manner.
  • Maintain punctual and regular attendance.
  • Perform other related duties as assigned.

    REQUIRED

    Education / Certificate
  • Must possess a high school diploma or equivalent, supplemented by appropriate business courses.
  • Must have and maintain a valid IVP Arizona Fingerprint Clearance Card.
  • Experience
  • Must possess a minimum of three years secretarial experience, preferably working in a school district setting.
  • Must be organized and able to work independently.
  • Must possess an ability to deal effectively with matters of confidentiality.
  • Must possess a pleasant personality and telephone manner.
  • Must possess an ability to work cooperatively with the general public.
  • Must possess a loyalty to the school district and its philosophy.
  • Must possess an ability to work cooperatively with the general public.
  • Must be 21 years of age or older upon hire.
  • Communication Skills
  • Excellent verbal and written communication skills.
  • Must possess ability to work cooperatively with parents, students, administrators, faculty, staff and general public.
  • Bilingual communication is beneficial and preferred.
  • Computer Skills
  • Must possess the ability to use or learn to use student information system software.
  • Knowledge of Google Suites.
  • Knowledge of Microsoft Office.
  • PHYSICAL DEMANDS
    • Prolonged periods sitting at a desk and working on a computer.
    • Ability to regularly push, pull or lift weights up to 15 pounds.
    • Specific vision abilities required by this job include close vision and ability to adjust focus.
    • Regular talking and listening is required.
    • Ability to frequently stand, walk, bend, sit.
    WORKING CONDITIONS
    • Must be able to tolerate a semi-private working environment.
