Agave Pediatrics, a leading pediatric care provider, is excited to announce an opening for a dedicated Administrative Assistant.
This full-time position is an exceptional opportunity for a skilled individual to contribute to the wellbeing of children by supporting our dynamic team.
The position is based on-site and is not eligible for remote work. Our practice has five locations, and the chosen candidate will play a crucial role in ensuring smooth administrative operations across all sites under the guidance of the Practice Manager.
Duties and Responsibilities- Provide administrative support to ensure efficient operation of the office.
- Assist with ad hoc project management to improve business operations.
- Manage provider and other staff schedules.
- Create and update employee files.
- Plan and execute company events and employee appreciation initiatives.
- Handle office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
- Produce and distribute correspondence memos, letters, faxes, and forms.
- Assist in the preparation of regularly scheduled reports.
- Update and maintain office policies and procedures.
- Order office supplies and research new deals and suppliers.
- Provide general support to visitors.
- Act as the point of contact for internal and external clients.
- Travel between the practice's locations as required to support operations and attend meetings.
- Proven experience as an administrative assistant, virtual assistant or office admin assistant.
- Knowledge of office management systems and procedures.
- Working knowledge of office equipment, like printers and fax machines.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus.
- Previous experience in healthcare strongly preferred.
- Ability to travel between locations.
- Comfortable with Microsoft Office, Excel, and various computer programs.
- A candidate who can balance multiple responsibilities, problem-solve and has good interpersonal and project management skills.
- Bachelor’s degree in Business, Administration or related field (preferred).
