The Administration Office Manager provides essential administrative and operational support to the Administration Office, Kids Care Department, and other program areas as needed. This role plays a vital part in ensuring smooth day-to-day operations, directly supporting the care and experiences of the children and families we serve.
Weekly Schedule andHours:
- Full time, 40 hours/week
- Monday
- Friday 8:00am-5:00pm - Two evenings per month to support specific programs
- Provide comprehensive administrative support to the Administration Office, Kids Care, RESET, and other programs.
- Serve as the first point of contact for visitors; greet guests warmly and connect them with the appropriate staff.
- Answer phones professionally, direct inquiries, take and relay accurate messages.
- Support parent communications, including onboarding, welcome information, and Kids Care membership enrollments.
- Manage and maintain the My Club Hub database; generate accurate reports (membership, attendance, demographics, etc.) and resolve system issues promptly.
- Assist with completion of reports, forms, and other administrative documentation as assigned.
- Oversee office operations, including:
- Submitting and tracking maintenance requests.
- Maintaining and ordering office supplies.
- Preparing and reconciling bank deposits.
- Coordinate office and staff events, celebrations, communications, and meeting logistics (room reservations, set-up, materials).
- Travel to Kids Care and RESET program sites as needed to provide staffing or administrative support.
- Work two evenings per month to provide on-site support for scheduled RESET programs.
- Perform additional duties as assigned to support organizational goals.
- Other duties as required.
- Minimum of 3 years’ experience in an administrative or office management role.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); database management experience a plus.
- Demonstrated ability to uphold and reflect the organization’s mission and values in daily work.
- Reliable transportation, valid driver’s license, safe driving record, and proof of insurance.
- Ability to perform physical tasks as required, including sitting/standing for extended periods, reaching overhead, bending, and lifting up to 20 lbs.
