Position: School Secretary - 10 Months
Granby Public Schools is seeking a highly organized, customer-focused, and detail-oriented School Secretary to join the team at Wells Road Intermediate School. The School Secretary serves as a key member of the school office team and is often the first point of contact for students, families, staff, and visitors. This position provides administrative support for special education services, student attendance, substitute teacher coordination, and daily school operations while helping to maintain a welcoming, professional, and efficient school environment.

Essential Responsibilities

Special Education Support

* Coordinate and maintain schedules for Planning and Placement Team (PPT) meetings, Section 504 meetings, and related appointments.

* Prepare, distribute, and track meeting notices, correspondence, and required documentation.

* Assist special education staff with scheduling, communication, and administrative support needs.

* Maintain confidential student records and documentation in accordance with district procedures and applicable regulations.

Student Attendance Management

* Monitor and maintain daily student attendance records.

* Process attendance-related documentation and reports.

* Communicate with parents and guardians regarding student absences, tardiness, and attendance concerns.

* Ensure accurate attendance reporting and recordkeeping.

Substitute Teacher Coordination

* Coordinate daily substitute coverage for teacher and staff absences.

* Communicate with substitute teachers regarding assignments, schedules, and school procedures.

* Collaborate with administrators to ensure appropriate staffing coverage throughout the school day.

* Utilize Frontline and other district systems to support substitute management processes.

Main Office Operations

* Serve as a welcoming and professional representative of the school for students, families, visitors, and community members.

* Answer and direct telephone calls and respond to inquiries in a courteous and timely manner.

* Assist with student sign-in/sign-out procedures, visitor management, and school safety protocols.

* Manage incoming and outgoing correspondence, mail, and general office communications.

* Support student registration, enrollment, and records management activities as assigned.

* Prepare reports, forms, correspondence, and other administrative documents.

* Assist with school events, activities, and other office functions as needed.

Team Collaboration

* Work closely with school administrators, the Administrative Assistant, teachers, and support staff to ensure efficient office operations.

* Maintain strict confidentiality regarding student, staff, and district information.

* Demonstrate flexibility and the ability to manage multiple priorities in a fast-paced school environment.

* Foster positive relationships with students, families, staff, and community members through professional and responsive customer service.

Qualifications

* High school diploma required; associate degree or higher preferred.

* Prior experience in a school, municipal, or professional office setting preferred.

* Experience with student information systems, attendance management systems, and educational software platforms such as Power School, Frontline, or similar systems preferred.

* Proficiency with Microsoft Office Suite, Google Workspace, email, and office technology.

* Excellent verbal and written communication skills.

* Strong organizational skills with the ability to manage multiple priorities and frequent interruptions.

* Ability to maintain confidentiality and exercise sound judgment.

* Demonstrated commitment to providing exceptional customer service and building positive relationships with students, families, and staff.

Work Schedule:

190 Days (180 Student Days plus 5 Days Before School Starts and 5 Days After School Ends), Hours are 7:30 am - 3:30 pm.

Salary:
Category C - School Secretary, SEIU Collective Bargaining Agreement, Hourly Rate: $28.42 - $33.70 per hour, commensurate with experience.
