Operations
- Support payroll process, including reviewing timesheets and payroll reports for accuracy and maintaining filing systems for all payroll records;
- Manage and process payment requests and employee reimbursements;
- Manager and process credit card transactions for all employees;
- Manage and track all independent contractor agreements and invoices;
- Manage and track vacation and PTO accruals and requests;
- Support with compliance and reporting for affiliated organizations;
- Assist with new hire orientations, onboarding and other human resources tasks;
- Manage the budget for office expenses, order office supplies and manage vendor relationships;
- Assist with internal and external audits;
- Maintain professional and organized office appearance, manage cleaning and maintenance schedules;
- Support with basic bookkeeping and general filling;
- Provide direct administrative support as needed, including scheduling appointments, meetings, and events, organize file systems, mailing and shipping packages, and updating contacts database and employee lists;
- Answering telephone calls and emails and directing them to relevant staff;
- Process and distribute daily mail;
- Support the CEO and Development Consultant with donor relations, including correspondence, sending acknowledgment letters and tracking reporting obligations;
- Track and organize grants, reports and associated files and agreements;
- Assist in grant writing and submitting reports and grants;
- Support with general communication needs.
- Alignment to Voces Unidas' mission;
- At least 3-5years of professional experience required;
- Experience and knowledge of the nonprofit sector preferred;
- Ability to complete a high volume of tasks and projects with little or no guidance;
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround;
- Able to maintain a high level of integrity and discretion in handling confidential information;
- Ability to occasionally travel to all offices,as needed;
- Fluency in English and Spanish is preferred.
